Policy, Mission & Approach

Westbrook School Department Booster Policy

The Westbrook School Department recognizes the role of booster groups and PTO / PTAs in assisting the school in all aspects of school life. For purposes of this policy, a booster group or PTO / PTA is a parent and/or community group that is organized for the purpose of providing resources to support a particular sport or activity in the school or school system and to support the school in recognizing student accomplishments in athletics and activities. Westbrook Girls Basketball Boosters Mission Statement

In accordance with the Westbrook School Department Booster Policy and in collaboration with the Athletic Director & Varsity coach:  The Westbrook Girls Basketball Boosters (WGBB) will provide resources to the girls’ basketball program through fundraising & volunteerism to support the school and above all the student athletes by recognizing player and team accomplishments and enhancing the team and competitive environment resulting in a fun, rewarding and memorable experience.

Approach

The WGBB is a non-profit organization consisting of primarily parents, but is open to anyone interested in supporting the Girl’s basketball program. It is led by a 9 member Board of Directors (BOD). The BOD works closely with the varsity coach and Athletic Director to determine their role, responsibilities and develops a list of activities and services it can offer to enhance and support the program. Although all players are asked to participate, the primary focus of WGBB is the varsity program. This does not mean the others teams do not benefit from booster activities, a number of activities benefit the entire program and the JV and Middle School teams specifically.  The BOD meets at least once a month throughout the year and more frequently, 2 or 3 times a month during the school year. BOD meetings are open to the public and parents are encouraged to attend. BOD meetings are not and will never be a venue for discussions concerning players, coaches, team selections, playing time, coach’s decisions, strategy, etc.

Participation

Player and Parent participation in WGBB activities and fundraisers is not mandatory, but encouraged and absolutely necessary to provide the resources and support the school and student athletes need.

Players will be asked and encouraged to participate in all booster activities they are allowed to be involved in. For example, the season fundraiser, fundraiser blitz, bottle drives, Tip-a-baller, etc. Coaches will monitor and oversee their involvement and at times in collaboration with the boosters, offer incentives for participation. Depending on the activity, time of year & MPA rules, players may be prohibited from participating in certain booster activities.

Parents - The WGBB organization is ultimately a parent/community organization that relies heavily on the participation and contribution of parents regardless of the involvement of the student athletes.   

For activities that involve players - Parents will be asked and needed to supervise and assist. Activities such as drivers for bottle drives & the fundraiser blitz & support for tournaments – scorekeepers, admission, clock operators, concession volunteers, etc.

For activities that do not involve players - Parents will be the only available resources. The most critical of these activities is home game concessions, a very important fundraiser that’s 100% supported by parents. There are a few others that exclude players, most notably tournaments and anything occurring during the MPA no contact period.

2012 – 2013 Fundraising & Donations

The BOD recognizes fundraising and volunteering can be a burden for parents, so we’ve developed some alternatives that still benefit the program and players but provide parents with other ways to contribute. They apply specifically to the season fundraiser & concessions (home games or tournaments).

Season Fundraiser – The season fundraiser usually done at the beginning of the season is a critical initiative and accounts for roughly 25% of our annual income. The goal for every player is to raise $50 individually and $20 during the fundraiser blitz.   This year’s fundraiser is an Amato’s pass. The passes are $10 each. WGBB receives $5 from each pass sold. Each player will be asked to sell 10 to reach their individual goal. We recognize many times parents assume most of the fundraising burden, therefore, we are offering a Convenience Option, which allows parents to opt-out of individual sales and instead make a $50 donation to the WGBB. 

  • Convenience Option - $50 donation to the boosters
  • Fundraise – sell 10 or more Amato’s passes

The Convenience Option only applies to individual sales, the blitz is a team event, players are required (by coaches) to participate.  

The Convenience option is not being forced on anyone. It is strictly offered as a convenience for those that intend to contribute but would like to avoid the burden of selling something.

Donations – Concessions are another major form of fundraising and major strain on volunteer time and resources. Ideally, we’d like each parent/family to volunteer to work a game or 2 in concession. Experience shows this is never the case, so as an alternative, we are asking for donations in lieu of volunteering your time. It doesn’t need to be much, hot dogs, rolls, drinks, candy, hot food items (walking taco meat, Mac ‘n’ cheese) etc. It’s just another way to contribute if volunteering time isn’t feasible.

Keep in mind, volunteers to work concession and other activities are absolutely preferred and will always be needed and asked for, but if it’s not possible, donations are extremely helpful and greatly appreciated.
