Sierra Vista Soccer League: Board Meeting Minutes

Call to order: 3:15pm

In attendance: Troy Cronin (President/Sepsis team rep); Edgar Morales (Vice President/Pumas team rep); Sunny Forma (Treasurer/EMP and Fuzzy Navels team rep); Jen Dorris (Registrar/Hooters team rep); Cara Baker (Misfits team rep); Francisco Salinas (Internationals [aka InterFH] team rep)

Absent: Dolores Butler (Secretary and Field Scheduler);  Lou Creager (Open Division Coordinator/Futbolistas team rep); Arsenal FH team rep;

President’s report: none

Vice President’s report:

Edgar reported that one Internationals player was suspended multiple games for a red card incident against the Misfits. The player verbally assaulted the referee after the game, resulting in the multiple game suspension.

Treasurer’s report: none

Registrar’s report:

·         We have a total of 176 players registered for the spring 2008 season (144 in the Open Division and 40 in the Women’s Division [ 8 women are dual-rostered]).

·         Team reps are to remind their players to not lose their white state player’s pass if they have it. A player will incur a $5 penalty to replace it from the state registrar.

·         If you have missing paperwork or pictures, please get that to Jen ASAP.

·         A new combined state form/SVSL form is now on the website. It consolidates the 2 forms so that a player doesn’t have to fill out redundant info on both forms. The old forms are still good to use if people have them.·         Team reps have been great this season in getting their paperwork in.

New Business:

·         Monsoon Season 2008 (Open Division):

o        Decision was made to keep the games to the downtown fields for 2 reasons: (1 – unsure if the post turf field will be ready in time for the season start; 2 – some players have difficulty in getting on post)

o        Depending on the number of teams, 2 games will be played early morning on Saturdays (8am and 10am) and 1 game on Sunday (12pm). Reason for the day shift to Saturdays is to get the games played earlier due to hotter weather in the summer and avoid playing late in the day due to potential rainouts. We discussed playing early morning on Sundays, but team reps felt they would lose players due to church.

o        There was discussion about playing evenings downtown, but the lights cost would be too great (and with the risk of rain, we could potentially waste a lot of money on lights due to rainouts).

o        Format will be 11v11

o        8-week season with 2 playoff weeks and a championship game

o        Player fees: $45 new registrants; $40 returning players

o        Games start June 7-8, end with championship game August 23. No games 4th of July weekend.

o        Players who register after July 13th will pay a reduced rate of $35/$30 (the reduced fee will apply for the rema

inder of this season also).

o        Sunny needs t-shirt orders no later than May 31.

Teams in attendance chose the following colors:

o        Team registration night is scheduled for Wednesday May 14th at Vinny’s from 6pm-8pm. A team needs at least 11 players to register. Use the team roster form to list your players and their payment.

·         End of Season Potluck

o        May 4th 5:45pm – dark

o        Location: we are planning to hold it on the DP field right after the game, but we need to check with the city to make sure we can hold it there.

o        Players and families from both divisions are invited (please RSVP to your team rep)

o        Teams will be notified what they are to bring (side dish, dessert, etc…)

o        The league will be picking up the cost of the main dish (carne asada), drinks and pizza.

·         Post Accreditation Paperwork

o        The Executive Board will work on getting the paperwork done to ensure the league can function on post

o        Once accreditation is updated, the league can have flyers put into the ACS newcomer packets; set-up registration tables at the PX/Commissary, etc...

Women’s Division Update:

Women’s Division Fees: Spring 2008: $15 for returning players and $31 for new registrants. To enable us to play downtown under lights, each player was asked to bring a one-time $6 fee.

Women’s Division Registrants: 40 total players

·   Returning: 25

·   New: 15 (4 previous players; 11 brand new)

·   Dual Registered: 9 (8 SVSL Open; 1 TWSL)

Women’s Division Finances (as of 4/17/08):

·   Income to date: $903.37

o        +$224.00 (State Registration)

o        +$495.00 (Division Fee)

o        +$184.37 (Lights and Field Fee)

·   Expenses to date:

-          $372.00 (Lights and Field)

·   Future income:

o        +$16.00 (State Registration)

o        +$3.00 (Division Fee)

o        +$48.00 (Lights and Field Fee)

·   Future expenses:

-          $240.00 (State Registration)

-          $200.00 (Referee 10 games)

-          $124.00 (Lights and Field)

·   Expected net income at end of season: $50.37            

* Starting in the fall 2008, the women’s division will begin to operate under the name: Sierra Vista Women’s Soccer League (SVWSL).

Advantages:

·   SVWSL Executive Board will be able to focus solely on promoting women’s soccer in the greater Sierra Vista area

·   Oversight on finances (money not intermixed with SVSL) to ensure player costs/league expenses are accurate

·   “Run By Us, For Us” 

Challenges:

·   Keeping member numbers up (44 players needed to initially establish league)

·   How to register “dual registered” women (women who play in both SVSL and SVWSL). Cross-league agreement that dual registered women are officially registered with the SVWSL and afforded a SVSL fee discount? 

Planned Development:

·   Short-term:

o        Weekly/biweekly women’s skills development (free for registered league players); minimal cost to players not registered.

o        Skills workshops run by SVWSL players to develop leadership skills within league

o        Promote other local events to encourage fitness and team camaraderie (5k/10k runs, hiking, etc…)

o        Outreach to SV youth league as outlet for those girls not able to travel with select teams

o        Tournament team(s)

o        Social events to promote camaraderie

·   Long-term:

o        Promote referee accreditation internally

o        Expand league into Douglas, Bisbee, Tombstone, Benson, Nogales

o        Host a women’s tournament in Sierra Vista (mother/daughter tourney; all-night tourney?)

Timeline:

·   Now – August 2008: identify those women interested in officer/team rep positions and market league

·   Approximately May 1st  June 1st  July 1st  planning meetings

·   April – May 2008: market league for Monsoon Season

·   By May 2008: have new logo developed

·   By May 2008: complete tax paperwork for EIN; file for tax status; paperwork for fort recognition

·   By June 2008: open bank account as the new entity

·   June - August 2008: run Monsoon Season and continue to market for fall

·   June – August 2008: Develop league Constitution and Bylaws

·   September 2008: begin Fall Season

During board meeting items discussed:

  1. All fines need to be paid no later than Thursday by 6pm.  If fines are not paid player will not be able to play in Sunday’s game.
  2. Due to liability, each team rep MUST ensure on the Game Card that the player and number for that player are accurate.
  3. Players will give player card to referee. 
  4. Teams must wear the same shirt/jersey.  If player is on the field with a different shirt/jersey, the player will be asked to leave the field.  Teams continuing to allow their players to wear different shirt/jersey during games may result in a forfeit of that game.
  5. Board meetings need to be attended by a representative of each team.  Teams miss two consecutive meetings will be fined $10.00 according to the league bylaws.
