St. Paul Youth Lacrosse Volunteer Job Descriptions
Newly-Created Board of Director Positions that need to be filled:
- Secretary – responsible for giving notice of all regular and special meetings of the board of directors and the SPYLA organization as whole. The Secretary will also maintain a permanent record of those meetings and be the custodian of all official records of such meetings. The Secretary may handle other duties as assigned by the board and as accepted by the Secretary.
- Director of Marketing/Recruitment – primarily responsible for leading the organization's marketing and recruitment efforts to ensure that the club continues to grow and allow all eligible youth to participate as players and ensure that the club's message in that regard is being effectively conveyed to the organization and the public. The duties will include (with assistance from others) preparing flyers, seeking approval from public/private schools for flyer distribution, maintaining the approvals and coordinate distribution of the flyers (and coordinate purchase of printed materials as approved by the Treasurer or the board). Other duties as assigned and accepted.
- Director of Coaching – primarily responsible for recruiting coaches for both boys' and girls' teams and recommending such coaches to the board for approval for hire or acceptance as unpaid, volunteer coaches, as well as ensuring all coaches are properly certified under U.S. Lacrosse and Youth Lacrosse of Minnesota rules and requirements. The Director of Coaching will also coordinate communication between coaches, host appropriate coaches meetings and attend appropriate U.S. Lacrosse and/or YLM coaching related meetings. Other duties as assigned and accepted.
- Registrar – primarily responsible for registration of returning players and new players at the beginning of the season, including working with the board, boys and girls coordinators, kick-off coordinator and webmaster to open online registration each January and coordinate mail-in and in-person registration, ensure proper eligibility of players (including verification of US Lacrosse membership), maintain registration records and official rosters, and provide rosters to YLM, coaches and team managers. Other duties as assigned and accepted.
Non-Board position duties and positions needing to be filled:
1. Boys Coordinator – Open
Working closely with the Director of Marketing/Recruitment and Registrar to oversee player recruitment, registration and team assignments for the boys' program, as well as coordinate volunteer recruitment, field assignments, uniform distribution, coach needs, program needs and kick-off coordination. Also handle appropriate communication with Board, coaches, other volunteers and parents and ordering spirit wear.
2. Girls Coordinator – Al DeVries
Working closely with the Director of Marketing/Recruitment and Registrar to oversee player recruitment, registration and team assignments for the girls' program, as well as coordinate volunteer recruitment, field assignments, uniform distribution, coach needs, program needs and kick-off coordination. Also handle appropriate communication with Board, coaches, other volunteers and parents and ordering spirit wear.
3. Equipment Manager - Open
Sort, label, catalog equipment, distribute & collect equipment at beginning and end of season; arrange for cleaning of equipment; purchase additional equipment – as needed, maintain receipts for purchase & cleaning of equipment.
4. Uniform Manager – Dana Bergman
Assistant Uniform Coordinator - Open
Distribute, store, sort, order uniforms & spirit wear for boys and girls. Liaison with parents regarding uniform purchase and distribution. Coordinate purchases with SPYLA Treasurer and boys/girls coordinators.
5. Kick-off Coordinator – Chris Cordero
Prepare kick-off event, coordinate volunteers, promotions of event. Reserve space. Coordinate with Director of Marketing/Recruitment and Registrar in planning and hosting the kick-off event and coordinating timing of event.
6. Team Managers (1 per team) – Open Girls 3/4, Girls 5/6 and Girls 7/8 and Boys 3/4 – Sue Dion, Boys 5/6 – Chris Cordero, & Boys 7/8 – Lohini Mayo & Deborah Carter McCoy
Meet all parents on the team, weekly email contact with team members/parents regarding practices, games, camps and other details. Communicate directly with coaches and parents regarding needs. Communicate issues needing resolution directly to Board. Communicate coach equipment needs to Equipment Manager.
7. Photo Coordinator – Open
Arrange photographer for early season photographs of teams and individual players, promotion, distribution of order information for parents, distribution of photos to parents.
8. Volunteer Coordinator – Open
Coordinate with board members for recruit for all volunteer positions within the organization, maintain master lists of interested parents & community members; share job descriptions and time lines with interested volunteers, pair volunteers with positions that fit skill, interest and ability to commit and handle appropriate communication with Board.
