San Rafael Little League: Board Position Descriptions

BOARD POSITIONS

President  Oversees League operations & Executive Board.
Runs monthly meetings and responsible
for player eligibility & security certifications with Little
League Inc.  Attends monthly District 3 meetings.
Administrates LL and local rules. Promotes League
with community.  A President may be a Coach or Manager.

Vice-President  Assists President with administration
of rules and operations. Serves in absence of  
President.  

Secretary  Takes Minutes of monthly Board meetings.
Reserves meeting place & distributes Minutes and
Agendas to BOD (usually by email). Maintains and
works with Registrar, Info Officer & Volunteer
Coordinator to prepare lists of players & volunteers.
 
Treasurer  Maintains League financial operations and
records. Reports monthly to BOD on finances. Pays
invoices as authorized by BOD.  With assistance,
prepares annual Tax Returns

Player Agent   Representative of the players in the
League.  This person is the League ‘conflict manager’
who will facilitate resolutions of issues that may arise
between players, coaches, and parents. Represents
players in creation of League policies. A great and
satisfying position for a good listener & an important
job for a good communicator. The Player Agent assists
the President with player
eligibility, tryout lists, drafts, All Star selection and other
important functions with fairness as a paramount goal.

Umpire in Chief  Oversees all umpires in the League.
Communicates rules & issues rulings.  Conducts
training for Youth and Adult Umpires, purchase and
repairs of Umpire equipment, uniforms, and
informational materials.

Communications Officer  Maintains League website
including game score reports, standings, schedules.
Home age announcements, etc.  Prepares necessary
rosters lists and assists in all technology issues.
Monitors field conditions in inclement weather.

Division Commissioners (3 Commissioners)
Tball/Rookies, Minors/Majors, & Juniors.
Coordination of Manager/Coach assignments (with
approval of BOD), chairs the pre-season
Division Manager’s meetings, & administers the
practice schedules & game schedules throughout the
season. The Commissioner is also the League eyes &
ears for the Division, and should be available to
supervise some of the games helping coaches with
their coaching skills, and to make sure rules & safety
are observed. Also the Commissioner tries to make
sure that adults (coaches and fans) are positive and
sportsmanlike during games.
 
Safety Officer  Supervises safety of fields, facilities
and player equipment.  Organizes 1st aid instruction
classes for League coaching staff and volunteers.
Coordinates preparation of team 1st aid kits, and
completes the update of the annual League Safety
Plan, required by Little League Inc.  Works to improve
safety all season. Handles accident reports/claims.

Facilities Director  Oversees operations of our 4 fields
including supplies, maintenance, & cleanliness.
Coordinates with school district, organizes field
work parties, portalets and trash service,
fence installations/removals, bases &
basepath repairs.

Equipment Coordinator  Supervises inventory of all
playing equipment.  Coordinates distribution, return
and storage. Arranges purchasing of replacement
equipment.  Arranges repairs as necessary.

Uniform Coordinator  Organizes distribution of
uniforms to all teams. Purchases replacements, and
orders hats in early January.  Oversees return of
uniforms at end of season and arranges for laundering
and storage during the fall.

Sponsors Coordinator(s)  Arranges for contact &
solicitation of perpetual & new sponsors.  Arranges for
sponsor program advertising copy .With volunteer
helpers, distributes award plaques and programs to
Sponsors. Works with Uniform Coordinator

Fundraising Coordinator(s)  Supervises Committees
for various fundraising events that League operates.  
This would include the annual Dinner Dance, any
merchandising projects, or other fundraising activities.
 
Snack Bar Director(s)
Oversees 2 Snackbar sites. Coordinates purchasing
and maintenance of food & beverage inventories.
Prepares deposits of revenues for League Treasurer.
Provides instruction sheets to Team Parents for
parent staffing on game days

Coaching Coordinator  Training & Development
Plans & coordinates coach training clinics, procures
information, resources etc. for coaches.   Develops
skills clinics or play days for players during pre-
season.  Provides on going support for coaches
through the season.

Umpire Scheduler  Creates & coordinates season
umpire schedule with Commissioners. Calls or Emails
schedules to umpires on weekly basis.   

Special Events Coordinator  Create opening day
instruction packets for Teams, arrange for permits,
police services etc. Coordinates parent volunteers,
Giants Game Fundraiser and Sponsor Day events.

NON-BOARD POSITIONS

Team Parents  You are the link between the League
and your team’s players/families. You coordinate
family activities such as opening day parade, parent
snack bar duty schedules, team snacks, and other
league activities.

Umpires  The League and our District are very
short handed for Umpires, especially Adult Umpires
who are willing to be trained and participate in league
service during regular season and then post season at
the District level (Tournament of Champions and All
Stars). Please contact League immediately if you
would be willing to serve.

Youth Umpires  10 year olds and up may sign up
to serve as Minors, Majors, and Jrs. umpires.
You must participate in the Feb/March Rules & March field
mechanics training sessions in order to be scheduled.
Youth umpires are paid. (Also a good community
service duty for HS students who wish to serve as
unpaid volunteers.)
