Skyline Volunteer Descriptions
TEAM COORDINATOR:
The coach and team parent are the heart of the team. You will handle team communications, general follow up and help the coach in any way needed. Basic responsibilities include;
1. Schedule parent volunteers (after tryouts are completed and teams are finalized) – schedules are needed for snack, timers/scorekeepers, home team coordinators, host team coordinators, table transporters, publicity, and game confirmers.
2. Create team roster with all contact information and an “official” team roster for use at games that is in numerical order by jersey number.
3. Coaches’ binder needs the following: Roster of player emergency information, copies of medical release forms, copies of permits for fields and copies of coaches’ PCA certificates.
4. Send out reminders and updates throughout season
5. Communicate with parents regarding absences from practices and games and inform the coaches
6. Work with Home Team Coordinator to confirm everything will be set up for home game days.
7. Post Home Game scores on www.Sportability.com – user name=skylinelax, password – montera. Also double-check the away scores as posted by the other teams.
8. Communicate with Field Lining volunteer if a game field needs to be lined.
SCOREKEEPERS/TIMERS
(One scorekeeper and one timer per home game, one scorekeeper per away game):
1. Attend scorekeeper clinic at beginning of season. Usually held during a Piedmont High varsity game at Witter Field.
2. Arrive at least 20 minutes before game time to be sure that scorecard is completed well in advance of game time. Bring a copy of the roster (from team coordinator) with names of players in numerical order by jersey number and fill in scoresheet including date of game and name of opponent.
3. Umpires need to sign official score sheet for each game.
4. Scorekeeper sits at scoring table and records goals, assists, time of goals, penalties and other stats. Timer keeps game clock and penalty clock and alerts officials and coaches as end of half/game approaches.
5. Scorekeeper keeps track of goalie saves and assists as well as offensive goals and assists. These statistics are entered by the Team Coordinator into Sportability.
6. At end of each home game, provide copy of scoresheet to visiting team.
7. At the end of the game, make sure that the publicity person gets the scoresheet for his/her write-up and the team coordinator gets the scoresheet for posting scores and statistics on Sportability.
EQUIPMENT MANAGER :
This is a pre-season job with replenishing as necessary.
1. Coordinate with club equipment manager to get coach’s box for your team
2. Communicate with coaches regularly about replenishing the box as necessary. Submit all reimbursement requests to Skyline Treasurer. Typically re-supply is ice packs, medical tape and balls which you receive from the Club level equipment manager.
3. Work with Team Coordinator to compile emergency binder. Include copies of coaches’ PCA cards, emergency roster (from team coordinator), medical releases from each player and copies of field permits.
HOME FIELD COORDINATOR:
This job begins several days before your scheduled home game. Pre-game:
1. Confirm with table transporter and scorekeepers.
2. Prepare field information including directions to nearest Hospital and directions to bathrooms at scorer’s table. Make sure this gets to the game and is kept at scorekeeper’s table.
3. For games that are on our field, but do not include our teams, please assign a timekeeper. At-game:
1. Arrive 45 minutes prior to scheduled game time to ensure field is lined and set up correctly and to check in with previous team’s home field coordinator.
2. You will be considered our “Field Marshall” and will need to monitor activities and provide information to visiting teams. Please remain in the vicinity of the scorekeepers’ table for the duration of the game.
3. Confirm lining of the field in accordance with NCJLA guidelines. Fields must also be lined with seven (7) cones placed according to rules. Make sure that field is ready for play and field and sidelines are free of debris.
4. 4 game balls are needed at each end of the field (8 in total), evenly placed along width of field about 1 yard outside the end-line. As the game progresses, please collect balls that have gone past the end-line and put back in place. At the end of your game, collect the balls and return to the coach.
GAME CONFIRMER:
1. Monday before each weekend game, contact visiting coach or team coordinator and confirm game date, time, location, directions and color of uniform (so as to avoid duplication). Find this information at www.sportability.com – enter NCJLA under search criteria, click on appropriate age group and click on Contacts in Blue Column. Also provide weather related field conditions and rain-out information such as hotline number or your phone number.
2. Monday before each weekend HOME game, confirm with assigned officials. Look for assignments and contact information on www.thearbiter.net (access code available from Kim Lally ktlally@comcast.net). Provide rainout information (i.e. the hotline number to call or your phone number)
3. Provide email confirmation to team coordinator using game confirmer’s template.
PUBLICITY/ PHOTOGRAPHER:
The Skyline Lacrosse Club continues to grow in popularity. This is not only due to the excitement of the players but also through the efforts of the parent volunteers who submit articles describing the details of the game and pictures that have captured the thrilling plays. The players just love seeing their name in print.
1. On your assigned days, prepare a story about each game played by your assigned team. Get stats and details from the scoresheet, which you should take home after the game. Return scoresheets to Team Coordinator for Sportabilty input within 48 hours. The goal is to get each player mentioned as much as possible. This is harder for the defensive positions than the scorers or goalie, but should be done.
2. Post write-ups to Skyline website by sending to the Website coordinator – Dede Szykier dszykier@gmail.com, and our Publicity Coordinator - Mike Hughes at mike.hughes@oseterweis.com.
3. Send articles and scores to The Piedmonter & The Montclarion (benous@cctimes.com; rjordan@cctimes.com; pjensen@cctimes.com; mmcgreehan@cctimes.com) and to the Piedmont Post news@piedmontpost.org.
4. Write-ups should be given to the papers by 8 p.m. Monday.
5. Photography: Take photos to submit with the game summaries. Photos can also be posted on the website! Take end of season photos to distribute at end of season party.
SCOREKEEPERS EQUIPMENT TRANSPORTATION:
Hosting team transports the scorekeeping table, chairs and miscellaneous equipment to and from the field. Please contact Mike Adams mike@huntleighdev.com for access information. Coordinate with Home Team Coordinator and other table transporters – first game of the day should bring tables to field and last game of the day should return them.
TOURNAMENT PARENT:
1. Communicate and coordinate Jamboree and/or other tournament information – usually at the end of the season. This requires regularly checking the NCJLA website for updates…. www.ncjlax.org .
2. Coordinate the end-of-season party and collect for coaches’ gifts.
3. Keep players and families abreast of NCJLA news about tryouts for traveling teams.
FIELD LINING:
