Willow Glen Little League Volunteering

Willow Glen Little League is an all-volunteer league.  The over 10,000 volunteer hours that league families put in each year are what makes Willow Glen Little League successful.  For the 2012 Baseball Season, Willow Glen Little League is formalizing the volunteer requirements for each family with players in the league.   We are publishing these requirements so that everyone is aware of the expectations.  We will be tracking volunteers throughout the season to ensure that everyone participates.

Each family will be required to fulfill two volunteer responsibilities.  First, each family must complete one snack shack shift (about 2 - 3 hours) coordinated by their team parent.  Snack shack duty is mandatory; families cannot opt out.  Second, each family must volunteer for one of the assignments listed below.  This year, we are offering an opt out choice on these assignments, but it is going to cost you $200.  So if you cannot handle any of the assignments below, you can select to opt out and $200 will be added to your registration fees.

There are four levels of volunteer assignments.  The choice is up to you, but choose you must.

Group 1.          WGLL Board of Directors - Open Positions

Group 2.          Umpires and Team Level Positions

Group 3.          “Designated Hitter” Level Positions

Group 4.          Opt-Out of a Volunteer Position

Group 1.  WGLL Board of Directors - Open Positions

If you have a special talent for organizing and motivating others, you should consider volunteering for one of the open 2012 Board positions.  These positions take 2-6 hours a week and allow you to make a significant contribution to the league and the direction it takes.

Big Field Representative - Think of this position as Player Agent for the Junior and Senior levels.  Responsibilities include representing the interests of our Junior and Senior players, coordinating logistics for fields and equipment and building relationships with local high schools so that players are exposed to their options if they decide to continue playing baseball in high school.  IF you have a player at the Junior level, this could be your ideal position.  After all you are at the games anyway right….

Information Officer -The information officer manages the league's official website, manages the online registration process and ensures that league news and scores are updated on a regular basis, as well as collects and posts important information on League activities.   The responsibilities of this position can be filled by a “team” rather than an individual, so if you are a group that wants to contribute in this role, that works too.

Snack Shack Coordinator -  Responsible for the business aspects of running the Snack Shack. Oversees day-to-day operations of the snack shack to include the scheduling of volunteers, ordering, stocking, and inventory management, as well as, all financial management to include cash box management, deposits and snack shack financial reporting.  The snack shack coordinator also works with other officers as needed to support fundraiser efforts and special events. The responsibilities of this position can be filled by a “team” rather than an individual, so if you are a group that wants to contribute in this role, that works too.

Chief Umpire - The Chief Umpire is responsible for the recruitment, training, scheduling and supervising the umpires for the leagues home games.  We have a base group of umpires from previous seasons that form the core of the “blue” crew.  You will need to recruit from the coaches at the AA level and above, as well as, from our Major and Junior level players to fill in the gaps.  Training is provided by the District, so getting new umpires to attend will be your responsibility.  Scheduling involves make sure we have plate and field umpires for each game.  If you want to help ensure or games are played in a fun, fair, safe, yet competitive manner, this could be the right position for you.

Group 2. Umpires and Team Level Positions

Umpire - One of the most important volunteer positions in Willow Glen Little League is being an umpire, or part of our Blue Crew. We are very proud of the fact that we are one of the few leagues remaining who have a 100% volunteer crew of umpires. This is one of the major reasons we are able to have registrations fees far below neighboring leagues. Umpires are trained and outfitted by Willow Glen Little League, and are responsible for umpiring games at the Minor AA and above. We are happy to schedule assignments around whatever schedule you may have, and it doesn't matter if you are able to umpire 3 games or 50!

Team Level.  Volunteering for these positions will help their team run smoother and have a great season.  These positions take 4-6 hours a week and allow you to make a significant contribution to the league and the direction it takes.  If you don’t have enough volunteers for each team by the time of the parent meeting, each team will need to meet at the parent meeting and “assign” volunteers to each position.  Not attending the mandatory parent meeting does not prevent you from being “assigned” a position.”

Team Manager - This position is the head coach of a specific team within Willow Glen Little League. The manager essentially runs the baseball side of the team. The manager is responsible for planning and running team practices, making out game-day lineups, and managing the team during games. This position is not as intimidating as it may seem, especially at the T-Ball and Minor A levels! You always have at least a couple of assistant coaches who are there to help you out and cover for you when you need to miss a practice or game due to other commitments.

Team Parent - The Team Parent is the Manager's right-hand man or woman, and is a vital component of the team. Whereas the Manager typically runs the baseball part of the team, the Team Parent runs the administrative side. The Team Parent is responsible for organizing snack schedules, coordinating the team's turns in running the snack shack, planning mid-season and end-of-the-year team parties, and helping the Manager contact parents when practices or games are cancelled.  The team parent, working with the League’s Volunteer Coordinator,  also helps ensure that their teams’ volunteer requirements are met.

Team Coach - The coach is an assistant to the manager and helps with all baseball aspects of the team. Coaches are vital parts of any team, and are often called upon to help run practices and games when the manager is not available. Note that in Minor AA and above only 2 official coaches are allowed on the field of play, but that doesn't stop additional "coaches" from helping out during practices.

Team Scorekeeper – At the AA level and above,  Scorekeepers are an important part of each game we play during the season.  This year Willow Glen Little League is considering implementation of an online scorekeeping application that can be used through an iPad, an iPhone or an Android phone.  This is a fun activity and keeps you occupied during the game.  Furthermore, you are helping the coaches and the league measure how we are doing developing our players.

Group 3. “Designated Hitter” Level Positions

Volunteering for these positions means that you will be put in a pool of volunteers upon whom we when volunteers for a specific activity are needed.    You will be required to complete 8-10 hours of volunteer time, which means we will call you for 4-6 of these activities.

Field Maintenance Volunteer - Volunteering for field maintenance simply means that you'll volunteer to help mow the grass, prepare the big baseball diamond, etc. one or more times during the course of the season. You can also volunteer to help on field clean-up day before the season starts.  We'll coordinate an overall field maintenance schedule, and work around your schedule to find a day/time where you can help make our ballpark sparkle!

Opening Day Volunteer - Opening Day volunteers are responsible for arriving early to help set up for Opening Day, help serve lunch during Opening Day, or perform one of countless other tasks to help make WGLL Opening Day a day to remember.

Closing Day Volunteer - Closing Day volunteers perform the same sort of tasks as Opening Day, and it's a great way to help the league cap off a memorable season for our children.

Hit-a-thon Volunteer – Organizing and conducting our yearly hit-a-thon is a fun activity that requires lots of volunteers to pull off.

Under the lights Volunteer – As we did last year, Willow Glen Little League is hoping to conduct 1 or more night games.  You can volunteer to help setup and tear down for one of these events.

Saturday Afternoon BBQ Volunteer  - Got the itch to get behind the BBQ? Then this volunteer opportunity is for you! Spend 2-3 hours on a Saturday afternoon behind the BBQ and help fill the hungry stomachs around the park.

Contact Me – I have a skill or service that is not listed above and would be of value to WGLL.

Group 4. Opt-Out of a Volunteer Position

This year, we are offering an opt out choice on these assignments, but it is going to cost you $200.  Most leagues in our district have such an option to emphasize the need for all families to carry part of the load of running the league.  So if you cannot handle any of the assignments below, you can select to opt out and $200 will be added to your registration fees.  My money is on you selecting one of the many volunteer positions described.

Snack shack duty is mandatory; families cannot opt out. Each family must complete one snack shack shift assigned by your team parent.
