Board Positions and Job Descriptions

President

  • A non-voting position unless there is a tie
  • Who schedules and conducts a monthly Board meeting and two annual meetings per season (October and March) in accordance with the bi-laws
  • Attends the Central New York Section Meeting and the New York State Meetings with delegates/voting members of the Board
  • Secures dasher boards in advance of the ice going down and follows up with invoices during the season
  • Meets with city officials to negotiate ice fees and any other business of RYHA that involves the City of Rome
  • Acts as a liaison between RYHA and Central Section
  • Oversees the implementation of Disciplinary, Coaching, Finance and Fundraising Committees
  • Is accessible to the general membership

Vice-President

  • Schedules the ice for RYHA practices and games
  • Negotiates with the City Recreation Department for Tournament dates
  • Assumes duties of the President in the President's absence
  • Confirms the monthly ice bill with the City Recreation Department and the Board
  • Serves on various committees of the Association determined at the May meeting
  • Attends the monthly RYHA Board meeting as a voting member

Treasurer

  • Ensures that adequate accounts and records exist regarding the associations financial transactions including accurate and up to date records of all income and expenditures
  • Coordiantes the preparation of a budget with the help of the financial committee and presents it at the annual Fall and Spring membership meetings.  The Fall being the Proposed budget and the Spring being the Actual budget
  • Promptly deposits all monies received in the association's bank account and makes all approved payments promptly
  • Manages the association's cash flow, maintain all associations's financial records, balance the checkbook monthly and present a treasurers report at the monthly board meetings
  • Prepares the financial accounts for Federal Tax Return using tax accountants (D'Arcangelo & Co.) with itemized income and expenses per accountants request, along with other bank accounts. Our fiscal year is from June 1st thru May 31st.  The Tax return has to be post marked by October 15th
  • Works with our Registrar on player registration fee's for accurate account on player registration income, paying player insurance, team registration, etc to USA Hockey and NYSAHA
  • Works with our Tournament Director for applying and pyaing for tournament applications thru USA Hockey.  Silver Stick Tournament requires additional application and fee and also a tournament financial statement.  This is mandatory for keeping the tournament along with going to the Silver Stick Annual Meeting in June
  • Serves on various committees of the Association determined at the May meeting
  • Attends the monthly meeting of the RYHA Board as a voting member

Secretary

  • Receives and sends correspondence as directed by the Board
  • Attends monthly meetings of the RYHA Board and the two Annual meeting (October and March) and takes detailed minutes of all of the meetings
  • Reports to the Board with the previous month's minutes with copies for each member
  • Serves on various committees of the Association determined at the May meeting

IP Director

  • Attends registration and fits loaner equipment and answers any questions
  • Inventories loaner equipment, checks for damage and checks for needs of repairs
  • Must communicate with the parents throughout the season
  • Plans and conducts on-ice lessons and is responsible for acquiring the needed coaching staff for Beginner Hockey as well as Learn-To-Skate
  • Serves on various committees of the Association determined at the May meeting
  • Attends monthly Board meetings, as a voting member

Mite Director

  • Secures the coaches for Mini-Mites, B-Mites and C-Mites and recruits possible coaches for A-Mites
  • Communicates with the parents throughout the season and meets with the ACE Coordinator and coaches to assure of the program progression
  • Is responsible for the progression between levels and the development of the 3-on-3 cross-ice program for the Mite Level and setting clear guidelines on the number of games per season
  • Serves on various committees of the Association determined at the May meeting
  • Attends the monthly RYHA Board meetings as a voting member

Travel Scheduler

  • Attends the Q Game scheduling meeting. Completes the Q Game schedule in August and September
  • Communicates with the coaches and the Vice President on the schedule and then sends the schedule to the Central Section President, Central Section Tournament Director and the RYHA referee-in-chief for referee assignments
  • Starting in July, contacts each hockey organization in Central Section and obtains the name of the Q Game Scheduler
  • Confirms all Q Games to be played one week ahead of time with other Q Game Schedulers
  • Contacts Central Section President if a Q Game must be rescheduled and informs him/her of the change before the changes takes place
  • Serves on various committees of the Association determined at the May meeting
  • Attends the monthly meetings of the RYHA as a voting member

Snowbelt Scheduler

  • Attends the monthly meeting of the Snowbelt League in Syracuse
  • Receives the snowbelt schedule from the league Snowbelt Scheduler and must schedule all snowbelt games in two weeks and e-mail back to the league Snowbelt Scheduler
  • Seeks the coaches signatures on the Equal Ice Time form and secure signed rosters by the deadlines, providing tentative rosters (prior to rosters being due)
  • Reports all game scores by e-mail every Sunday night and then mails the score sheets within two weeks of the games to snowbelt (pick up from coaches/managers)
  • Attends the monthly meetings of the RYHA Board as a voting member
  • Coordinates the JAM Tournament is necessary. Provide snowbelt with contact information of coaches, managers, e-mails, phone numbers and confirm the games each week
  • Serves on various committees of the Association determined at the May meeting

A.C.E. Coordinator

The ACE Director for USA Hockey and their respective associations act as the go between for USA Hockey and the Coaching Education Program (CEP). We are to see that the requirements of the CEP and the invidual associations are met, assist to develop a well trained coaching staff, promote parent education and promote the player development program.

  • Form a coaches committee of board members and/or respected coaches from outside the association to choose coaches for the upcoming season
  • Mail out coaching applications to all members of the association with registration paperwork to find respective coaches for the season
  • Interview respective coaches for each age group with coaches committee, then choose best available condidate and ensure they hold the proper level coaching certification or that their card is up to date
  • Perform parent education classes as directed by Central Section and USA Hockey so that every member of the association has had at least one parent attend. If not, enforce sancations as set forth by the board
  • Ensure that the Initiation Program director and Mite director are encouraging cross ice games (3-on-3) with emphasis on skill development
  • Update with coaches in increments to ensure the season is progressing positively. Make sur coaches at all levels are also placing emplasis on skill development
  • Attended quarterly ACE Director meetings to discuss the season in progress and prepare for the upcoming season
  • Stay in contact with Rick Race, Central ACE and Chuck Gridley, Regional ACE discussing the progress of the season

Board of Directors

  • Elected for a 2 yr term
  • Attends monthly meetings of the RYHA as a voting member
  • Makes decisions that affect the players in a positive and fair way
  • Operates the Association
  • Approves the operating budget annually
  • Sets annual fees
  • Servers on various committees of the Association determined at the May meeting

Registrar

  • Non-voting member
  • Appointed by the Board
  • Registers all players and coaches in the Association with Central Section and USA Hockey
  • Assists in setting registration fees
  • Serves on various committees of the Association determined at the May meeting

Tournament Director

  • Non-voting member
  • Appointed by the Board
  • Recommends tournament fees to the Board for approval
  • Secures individual tournament directos for each association tournament (not Silver Stick)
  • Advertises and secures teams for each RYHA tournament
  • Orders trophies for each tournament (not Silver Stick)
  • Prepares a financial statement to report to the RYHA Board for each tournament (not Silver Stick)

Committees

  • Chairs will conduct committee meetings
  • Committee chairperson will report back to the RYHA Board with written minutes to be included in the meeting minutes of the RYHA
  • Committees will be comprised of RYHA Board members and at least two association members
