Meeting Minutes

v Banquet

Ø  Date – The date is Oct. 22^nd  - 5:30 – 8:30 (dinner served at 6PM) Be there at 4:30 to set up

Ø  Fee – The cost will be $6 per person – players are free.  We will have raffles for baskets and a 50/50 raffle

Ø  Programs – Dave will prepare

Ø  Invitation for Sponsors – Celeste to send out

Ø  Trying to get pumpkins from Robbins for center pieces

Ø  Theme Baskets – Please provide baskets to John a few days before the banquet

Seniors -Dave – Gift Cards

12U – John G – Christmas

12U – John D – Boston Sports

10U – Gerry - Games/Family Fun Night

7/8 – Jake - Movie Night

PeeWees – Brian - Halloween

Ø  Head Count – We will need a head count for the banquet by October 10^th.

v Middle School Dance

To be held November 30^th.  Jerry to DJ.  Anyone who wants to make snacks to bring and sell is welcome to.  Will have soda and candy for sale.

v     Fall Yard Sale at Middle School

Ø Date –Sept 29^th  at the middle school

v     Winter Clinics - 2013

Cost - $50

We have 11 weeks provided.  It will start for 3 Saturdays in January and the move to Wednesday nights in February.

   Saturday Sessions will run from January 5^th to January 19^th  - 9-11AM

   Wednesday Sessions will run from February 13^th to April 3^rd – 6-8PM

(Last Wednesday will either be for a snow day make up or for the season)

v Coaches’ Clinic –

   Clinic can be scheduled with Tom Caffell in mid November/early December.  Date will be provided once scheduled.  All coaches and assistant coaches are encouraged to attend.

v Field Conditions – Is Field 3 done yet?

No

v Rec Committee updates –

   John G. has applied for a position.  He hasn’t heard back yet.

v  Board Elections –

        Date to hold elections  is December 6^th

v  Non-profit status review –

        In process. 

v  Fall Ball – Teams/Coaches/Payment

  All players have paid. Two teams – one 14U and one 12U

Umpire fees were provided to coaches

v Player Registration:

Registration discussion with respect to listing of medical conditions that league should be aware of on application.  Should we obtain doctor’s form stating player is physically fit to play the sport.  Decided against addition for privacy issues.  Leave determination of whether physically fit up to parents.

PRICING:

Discussion regarding Candy vs. No-candy options – decided to offer both

At prior meeting, decided to offer:

        2 different prices – one for pee-wees/7&8s and another for all others

        A family discount again this year

        $5 for winter clinic for registering for both the spring season and clinic

        Early registration discount for those registering by December 6, 2012.

        Black shorts for each girl to keep included in fee

Proposed Spring season fees were agreed upon and a separate flyer was created that included pricing for all above items. (See separate flyers)

v     Snack Shack issues

Discussion around the use of a lock box in the shed – ideas included a drop box where money above a certain dollar could be deposited or a safe-like box to lock the money box in

v     Sponsorship for 2013 Season

Rich Mahlert to co-ordinate sponsor solicitation like last year.  Consideration for signage at fields.  Anyone with interested sponsors should contact Rich.

v     Other Items

Need to determine next meeting date.  December 6^th was recommended.
