Dear Baseball Parents,
First of all, let me introduce my self. I am the President of the Concession Stand board for Moon Baseball. This is my first year as president but held various other positions on the Concession Stand board including treasurer. I am writing this letter as a plea for your help for the Baseball organization.
The Concession Stand is one of the two primary ways the baseball league raises money for the organization. We are currently comprised of approximately 15 mothers that donate their time and talent to the organization but this is not enough. We have two locations to serve and our bodies do not allow us to be at both locations at once.
There are many different jobs within the concession stand board that need to be filled with various degrees of participation. The main responsibility of the concession stand board is to make sure the concession stand is open and ready for business and to close it at the end of a game. Just as an example, most of the Managers within the league require your child to be at the field prior to game start for proper warm-up and for batting practice. This would be a perfect opportunity for you to donate your time to the organization and open the stand for use. We are at the field already, why not donate your time to the organization.
Again, there are many levels of participation that we could use your help.
We have various jobs to sign up for that can be worked around your busy schedule. Here are examples of jobs within the organization:
Opener – This position means that you simply open the stand, throw some hotdogs on the griller, and take a look at the drink refrigerator to see if anything needs re-stocked. Once the team parents show up for their assigned duty you can leave. Estimate amount of time on any given day – 15 minutes – more or less.
Closer – This job entails arriving at the stand (most often you will already be at the field due to your child playing) about ½ hour prior to the end of the game and cleaning up the hotdog griller, sweeping out the stand, taking a look at the refrigerator to see if there is any stock that needs re-filled, and then counting the money for a deposit. The deposit is very easy as there will be envelopes with deposit slips and also instructions on how much money remains in the cash box. Usually you can get the parents that are working to help in the clean up and the job really does not take any longer than a half hour at the most.
Shopping Committee - This job would involve going to Sam’s Club or other stores for items needed to replenish the stands. Most often you would meet other members of the board and you would work together. Then you would go back to the stands (Devenzio & Baker and unload the items) usually candy, frozen items, paper products etc.
Tournament Coordinator – This position is new this year. Moon Township Little League Baseball holds many tournaments in the month of July. If any of your children have played tournament baseball you know how hectic it can be running the concession. While most often the parents of the teams have assigned a concession stand coordinator for their own team we have never had someone work with all of these people to make sure they understand what is involved in running a concession stand for a tournament. This person would go to the tournament manager meetings and run through the items that they need to assign to their own coordinator. This person would also meet with (or speak with) the coordinators prior to their individual tournaments starting to make sure they have everything assigned, prepared, scheduled, stocked etc. It is really a support for the teams that are holding tournaments to make sure that the concession is run to the best of our ability since tournament season is a major source of funds for the organization. While this position might seem overwhelming it really should run smoothly since you will have most of the tournament team parents doing the actual work.
Cleaning Committee – This position involves simply helping out once a week or so in cleaning the stands. While they are cleaned every time they are closed there are still areas that the closing parents may not hit in their nightly cleaning that could use more. This committee will be somewhat easy once the process gets started because once the stands are cleaned weekly there should not be much to be done with exception of the opening and closing of the season.
All-Star Concession July 4th– As most of you know we hold our all-star games in Moon Park every year. We run the concession stand there and generally it is not just the baseball association buying items it is all of the other township families that happen to be at the park. We run grills and have a tent set up with different food items for sale. The process begins with the setting up at aprox 7:30 AM and runs until the last game is over which could be until about 5 PM. Considering that it is an all day event it takes lots of help. Usually there is a schedule set up with time slots but we always need many volunteers to work an hour or two. Please consider this as it is usually great fun being in the park to join in the celebrations of the holiday.
We are a very large organization. The Concession Stand Board and the Moon Baseball Board of Directors are trying to make it the best league possible for your child. We have many new families to the league and many other families that were never approached to help in the organization. Well, I am asking now. I would like to see every Manager with in the league to have at least one concession stand board member on their team.
