2007-2008 Academic Calendar

The Acalanes Union High School District has been considering a change to the traditional academic calendar for several years. Under the collective bargaining agreement with the Acalanes Education Association (AEA), the calendar is a negotiated item. The District and AEA must "mutually agree" on the academic calendar as part of negotiations.

A committee of AEA members, site and district administrators, and Board members met from January to April to consider various calendar options that support student learning, student achievement, and instructional practices. Strategic Plan Goal #3 calls for the District to "explore options to the current academic calendar." The work of the committee fully supported this goal.

Strategic Plan Goal #8 directs the District to "create systems to manage stress for students, staff, and parents." Denise Clark Pope (Stanford School of Education) has researched student stress and potential solutions. She has made several presentations as part of the District's Parent Education Program and strategic planning process. Both Acalanes and Miramonte high schools are working with her Stressed Out Students program to reduce student stress. Her work shows that ending the first semester at the winter break has a significant impact on reducing student stress in addition to providing a better use of instructional days.

As part of negotiations this year, AEA and the District have mutually agreed on a calendar for the 2008- 2009 academic year, however, the Governing Board must still adopt the academic calendar. The proposed 2008-2009 academic calendar will be presented to the Governing Board on June 6 at its regular meeting (7:30 p.m. at the Del Valle Library located at 1963 Tice Valley Blvd., Walnut Creek - Please note that its is a change in location.) As with all Discussion/Action items on the agenda, the public may comment on the agenda item by filling out a speaker's card prior to the start of the agenda item. An individual is limited to three (3) minutes of public comment. The Board will not act on the calendar on June 6, but will do so at one of the future meetings (June 25, August 15, August 29).

After numerous discussions and a vote of the AEA membership, staff is proposing the adoption of a 2008- 2009 academic year that ends the first semester at winter break (Calendar A, which is available here. Calendar B, which is a traditional calendar, is available here.)

Calendar A supports reducing student stress, promoting student learning, and using instructional time effectively.

• Calendar A is designed to reduce student stress by ending the semester at winter break. The students and staff would start the second semester fresh after the winter break.
• Calendar A creates uninterrupted blocks of instructional days compared to the way January is broken up currently.
* By attaching a teacher work day and staff development to the end of winter break in the first week in January, students have a longer winter break.
* By attaching two staff development days to the Presidents Day holidays, students have a six day break in February, and there are uninterrupted instructional periods in January-February and February-March before spring break.
• Calendar A provides more instructional days before the Advanced Placement Examinations - approximately 50% of our juniors and seniors are enrolled in at least one AP class.

Calendar A includes the following changes to the traditional calendar:

• Students start school on Tuesday, August 19, the third week in August, compared to August 22 this year.
• Students will attend school on November 24-25, the Monday and Tuesday of Thanksgiving week.
• Students will take semester examination on December 16-19.
• The first semester ends on December 19, which creates unbalanced semesters. There are 84 days in the first semester and 96 in the second semester. The difference is offset by STAR and AP testing in the second semester. Unbalanced semesters are common in districts that end the first semester at winter break.
• Staff returns from Winter Break for a work day on January 5 and a staff development day on January 6. Students begin the second semester on January 7.
• Staff development days are scheduled for February 12-13 prior to the Presidents Day holiday on February 16-17, which creates a six-day break for students and a four-day break for staff.
• April 27 is a non-student day in order to meet the 180 day student year and 186 day teacher work, and hold graduations on a Friday. This day falls after STAR testing and before AP testing.

The District and AEA mutually agreed to implement Calendar A for the 2008-2009 and the 2009-2010 academic years in order to fully evaluate the effect of the changes to the calendar. The 2009-2010 will be developed following the same concepts that are incorporated in Calendar A.

Staff is recommending that the Governing Board adopt Calendar A for the 2008-2009 academic and the concept of Calendar A for the 2009- 2010 academic year. The Governing Board will take public comment on the 2008-2009 on June 6 and will adopt the calendar at a future meeting (June 25, August 15, August 29).

Acalanes district outlines policy for uniform grading at schools
In Acalanes Union High School District, making the grade now means the same thing at every school and in every classroom. The district is one of the first Bay Area districts to institute a comprehensive grading policy that spells out what it takes and means to receive an A, an F and everything in between.

Support Counselors Available to Students
Miramonte has two support counselors available to help students with concerns related to school, family life, relationships and other sources of stress. Anne LaFrance works on Mondays, Wednesdays, and Fridays, and spends part of her time providing presentations and individual help on stress management and study skills. Andrea Jones works on Tuesdays and Thursdays, and continues a private practice as a Marriage and Family Therapist.

Parents or students can request help from these support counselors at any time; teachers and academic counselors often make referrals as well. Please contact the Counseling Office at 280-3930 ext. 3000 to reach them or leave a confidential message. Some of the signs that your student may need help include:

• Depression, sadness, isolation, frequent crying
• Anger, mood swings, or sudden outbursts
• Family stress: divorce, moves, chronic illness, deaths or other loss
• Concerns about drug and alcohol use
• Concerns about weight, appearance, or eating habits
• Peer conflicts or peer group turmoil
• Study skills: organization, time management, motivation, etc.
• Anxiety and stress symptoms

Andrea and Anne are also happy to help connect parents with community social services and private therapists

In Case of Emergency
ICE is a simple concept that will allow ambulance crews and police officers to quickly contact a designated person who can be informed of the incident if you are injured or unable to communicate. Store the word ICE in your cell phone address book, and enter the phone number of the person you would want to be contacted "In Case of Emergency". In an emergency situation, ambulance and hospital staff will then be able to quickly find out who your emergency contacts are and be able to contact them.

How to ICE Your Phone

Type the acronym ICE followed by a contact name (for example, ICE1 - Mom or ICE2 – brother Dennis or ICE3 – primary care physician) into the address book of your mobile phone
Save their phone number. Tell your ICE contact that you have designated them.

ICE Your Wallet

Write your ICE information, medical conditions, allergies, and medications (including dosages) on a card and keep it in your wallet/purse/backpack. Your ICE card can carry information beyond emergency contacts. Plus, your cell phone may be lost or damaged in the incident.

HOW TO UNDERSTAND MIRAMONTE COMMUNICATIONS
Miramonte High School and the Miramonte Parents’ Club each have a website. Bookmarking both sites as favorites on your computer will help you access answers to most of the questions you will have about Miramonte.

Both the high school and the Parents' Club communicate via email to the entire Miramonte community or to individual subscriber groups. You may subscribe or unsubscribe to any of the subscriber lists by following the directions to update your profile on the homepage of the Parents' Club website. The class liaisons communicate to individual classes with periodic email notifications.

Parents Accessing Blackboard
The student user ID for Blackboard is their 7 digit permanent ID number. The parent user ID for Blackboard is the student's 7 digit number, preceded by mp for MHS. For example: mp1234567

The password the parent needs to use is the original password that was assigned to the student at the beginning of the school year. What has been happening is that the students have logged into Blackboard and have changed their own passwords. However this does not change the parent's password.

Miramonte H.S. Communication Policy
As part of the WASC process, a group of staff, parents, and students looking at the climate and culture of Miramonte High School has identified communications as an area that could be improved.

In an effort to address the communication issue, MHS has adopted a time-line for responding to all forms of communication, as well as a line of communications for addressing concerns and seeking resolution to problems.

1. Time Line
As a guideline, any communication, via e-mail or telephone, should receive a response within 48 hours (excluding weekends and holidays). This would include communication from parents as well as staff.

If there is no response within 48 hours, please e-mail or call again stating that this is the second attempt at communication.

• The 48-hour guideline may be affected by illness, conferences, or technology problems.

2. Line of Communication – Academic
Any questions or concerns regarding student progress in a class should be addressed through the following line of communication:

1. Student speaking with teacher
2. Parent communicating with teacher
3. Parent/student communicating with Counselor
4. Parent/student communicating with Associate Principal
5. Parent/student communicating with Principal
6. Parent/student communicating with District Office

• The teacher will be included in all communications at all levels.
• For students receiving Special Education services, the line of communication may include the Resource Teacher, Director of Special Services, as well as other Special Education Staff.
• If the line of communication is not followed, the issue will be referred back to a previous level.

3. Line of Communication – Athletics
Any questions or concerns regarding student participation on Miramonte athletic teams should be addressed through the following line of communication:

1. Student-athlete speaking with coach
2. Parent/student-athlete communicating with coach
3. Parent/student-athlete communicating with Varsity coach (if JV or Frosh athlete)
4. Parent/student-athlete communicating with Athletic Director
5. Parent/student-athlete communicating with Principal
6. Parent/student-athlete communicating with District Office

• If the line of communication is not followed, the issue will be referred back to a previous level.

Attendance Policies
Miramonte High School now has a call-in number for attendance "excuses". Parents should call the 24-hour-7-day-a-week attendance number (631-1706) to excuse the student for any absences. Parents must notify the Attendance Office BEFORE students need to leave school for a valid reason, as in a medical or dental appointment.
Miramonte High School is a CLOSED campus. Parents cannot excuse students to leave for lunch.
