General Membership Meeting

 

Date: October 5, 2009 Time: 7:00pm – 8:30pm Place: Piankatank Ruritan Club Old Business:

Tommy Eriksen, outgoing President, stated that 326 children in Mathews signed up last year for the Spring ball season, including t-ball and senior players.

Tommy Eriksen stated that the corn hole tournament, which was held in September was a success and made a significant amount of money. He suggested that we do another tournament later in the fall. New Business:

Tommy Eriksen suggested a few fundraisers for the fall, including another corn hole tournament, a $1.00 raffle sale, Kids’ Night Out, and a Bar-B-Que dinner put on by Cook’s Bar-B-Que on wheels.

Tommy Eriksen also mentioned that the end of the season Fall Classic Tournament would be held on October 25th/26th.

The management of the concession stand for the Spring season is still under discussion.

At the November meeting, the board will take up a collection for the Kevin Mitchem Scholarship Fund.

Outgoing President, Tommy Eriksen, called for nominees for the incoming President. Billy Cook nominated Pat Beattie. The motion was seconded by Tom Rose. Pat Beattie was unanimously elected Mathews Little League President, where he took over the meeting to elect the remaining officers for the 2009-2010

Incoming President, Pat Beattie, conducted the elections of the remaining officers, and they are as follows:

Vice-President of T-Ball/Coach Pitch – Jerry Dehoux

Vice-President of Minor/Major Softball – Tom Rose

Vice-President of Minor/Major Baseball – Tommy Eriksen

Vice-President of Jr./Sr. Baseball – Brian Moore

Vice-President of Jr./Sr. Softball – Chris Hudgins

Field Maintenance – Chairman Chris Burns with Tom Wathen & AJ Jarosz assisting

Sponsorship – Debbie Smith & Dave Crigler

Chief Umpire – John Lowe

Complex Maintenance – Glenn Scatchard with Wayne Armstead assisting

Trash/Park Cleanliness – Steve Ray

Coach Coordination – Dave Crigler, Jerry Dehoux, & Pat Beattie

Outdoor Equipment – Donnie Lewis

Safety Officer – George Foss

The next Little League Board meeting will be Monday, November 2nd.

Members In Attendance:  Pat Beattie, Chris Byrns, George Foss, Steve Gayle, Chris Hudgins, Alease Hutson, A J Jarosz, John Lowe, Glenn Scatchard, Sandy Smith, & Lianne White 

Treasurer’s Report:·        Sandy Smith opened the meeting with a detailed report of our income and expenditures.·        The remainder of the money in the account will go to paying the bills until Spring.·        Cathy Mise will talk to the bank about rewriting the current loan.  ·        It was suggested by John Lowe that we sell more ad panels to fill the fences, thus raising more money.·        Steve Gayle suggested that any purchases, not in the budget, need to first be approved by the board, if over a certain dollar amount.

Old Business:·       Since the first Corn Hole tournament raised $800, Tommy Eriksen and Jerry Dehoux decided to host another tournament Sunday, November 15th, and it was then postponed to the following Sunday due to the storm.

New Business:·       Chris Byrns gave us an update on the Jr. field:1.     $60 left in the budget at the present time2.     The high school is not going to lay the brick for the dug outs.  We have the materials, but we do not have the man power.3.     The grass seed and fertilizer are down.4.     The dirt is there, but it just needs to be spread.5.     We still need bases.·       A work day was set up for Saturday, November 14th, to close the fields for the winter (9am)1.     Go through the equipment in the shed and then lock it.2.     Follow up with Pal about the water.3.     Remove signs.4.     Put away the tractor.5.     Close up the concession stand.·       Three bids are needed for running the concession stand in the Spring.  An ad will be placed in the paper after the holidays.  We will be asking for a flat rate, and Steve Gayle will write a “Statement of work”.·       The board is working on being stricter during registration, with regards to collecting payment due upon registration.·       We are considering asking sponsors to also sponsor a hardship child, but in return, the parent or family should help the league in some way.·       Joey Casey will organize a Spring golf tournament fundraiser.·       There will be no New Year’s Eve dance this year.·       The Fall raffle raised $800, and the winner was Chris Turner, mother of Lilly Turner.·       A Fall tournament was held the weekend of October 24th.·       We will pass the hat for the Kevin Mitchem Scholarship at a future board meeting.  A reminder text message will be sent out prior to the meeting.·       Dave Crigler would like to put together a pitching clinic sometime before the Spring season begins.·       George Foss requested that all coaches be required to umpire 2 games each. There will be NO December meeting.  The next meeting will be in January.  A reminder will be sent out via e-mail and text message prior to the meeting.
