Annoucement - Open Board Positions Available Registrar & Treasurer
We currently have 2 vacant positions within FSYSL: Registrar and Treasurer. Please contact any board member if you are interested in either of these positions.
Registrar is a paid position, the only paid position with in FSYSL. You will need to fill out a 1628 and a back ground check will be done in order to be considered for position.
Your responsibilities would include but not limited to:
§ Organizing, processing and data entering of all player registrations and coach applications into League One CYSA's central registration computer system which includes; entering and organizing of teams once received by the League Coordinator. Your responsibility will also consist of:
§ Making of player pass and setting up lamination night for coaches
.§ Responsibility to insure that we are in compliance with CYSA and Dist 6 registration policy and procedures.
§ Attendance to all District 6 registration meetings and communication with District 6 registrar will be mandatory.
§ Attendance at all monthly board meetings.
§ Required to process & track all refund requests to be presented to our treasurer based on our refund policy.
§ Detailed reporting of tracking of refunds, financial aid, player & team counts, and any other information pertaining to player registration at every monthly board meeting.
§ The registration contact for parents and will have to carry league phone to answer phone messages during registration season.
§ Setting up, organizing and retaining volunteers for walk in registration days.
You will take direction from FSYSL President and the rest of the Executive board Team. Being that this is only paid position your role as registrar will be treated as a paid position. However, as a board member you will have a vote at and a voice at all board meetings and will take an important role in helping the rest of the board members make decisions in developing and improving the league for our community. Treasurer is a volunteer position and you will be apart of the Executive Board Member team. We request that someone with this type of experience only be considered. The Treasurer must drive compliance with financial plans and overall FSYSL fiduciary responsibilities.
Your responsibilities would include but not limited to:
§ Collaborate with League, club and board members to collect revenue for: Ø FSYSL registration fees, League fees, Sponsorship funding, Ø Establish fiscal plan and budgets for, but not limited to the following categories:
§ Registration, Training, Special Events (Camps, Tournaments, fundraisers), Uniforms, Field and Facility maintenance and other expenses, Scholarships, FSYSL Board expense including compensated support (Registrar, Bookkeeper, etc)
§ Manage and coordinate with FSYSL accountant to assure: Ø Taxes and tax documents are properly filed and executed Ø Checking account is properly reconciled Ø Savings accounts are properly reconciled Ø All transactions are transparent and auditable
§ Assure FSYSL fiduciary responsibilities are met: Ø Payments are made on time Ø Insurance premium is paid and coverage is up to date Ø FSYSL financial records in QuickBooks are kept up to date and accurate Ø Financial contracts are properly executed
§ Manage and coordinate with SSC treasurer to assure they have: Ø Taxes and tax documents are properly filed and executed Ø Checking account is properly reconciled Ø Savings accounts are properly reconciled Ø All transactions are transparent and auditable
§ Assure professional staff expense statements and receipts are properly reviewed and validate.
§ Attend all monthly board meetings, Executive board meetings and FSYSL / SSC quarterly Executive Board meeting.
As an Executive Board member you will work with the Executive on developing and improving the league for the community children. As part of the Executive team you will need to be prepared to handle tough decision making and complaints. Your application will be reviewed and voted on by the Board of Directors as an interim Treasurer then voted in as Treasurer at the Annual General Meeting in November in order to serve as Treasurer for your full term of 2 years.
FSYSL Bylaw statement for Treasurer:
2:02:01The membership of this League shall elect an Executive Committee composed of the President, 1st Vice President, 2nd Vice President, Secretary and Treasurer who shall serve for a period of two (2) years. The Executive Committee shall be elected to staggered terms of office. The President, 2nd Vice President and Secretary shall be elected in even numbered years. The 1st Vice President and Treasurer shall be elected in odd numbered years. The immediate past President shall hold the position of President until the end of the Annual General Meeting.
E. TREASURER: The Treasurer shall give a receipt for all monies, which shall be deposited in a recognized bank in the name of this League. All accounts shall be paid by check and shall bear two (2) signatures: The Treasurer and/or President, 1st Vice President, 2nd Vice President or Secretary. The receipt book and vouchers shall be produced when required by the Board of Directors, properly balanced according to the bank book or statement, whichever is up-to-date. The Treasurer shall be responsible for the preparing of any and all papers pursuant to the Articles of Incorporation and Tax Exemption status of the League. In the event the Treasurer becomes unavailable for fifteen (15) days, the President and one of the other authorized signatures will be required. At no time shall any related parties be the two (2) signatures on a check, regardless of to whom the check is payable. The Treasurer shall also be responsible for such other duties as directed by the Board of Directors.
2:02:02The Executive Committee shall serve between Board of Directors Meetings for either emergencies or to dispose of duties bestowed upon the Executive Committee by the Board of Directors. All actions by the Executive Committee must be ratified by the Board of Directors at the next scheduled meeting after such Executive Committee Meeting(s).
