Job Descriptions - Board of Directors

PRESIDENT
The President shall be the Chief Executive of the organization and shall, subject to the control of the Board of Directors, have general supervision, direction and control of the business and affairs of the corporation. The President shall preside at all membership meetings and all meetings of the Board of Directors. The President shall be a member ex-officio of all committees except the nominating committee. The President shall have one vote only in the case of a tie. The President shall also represent Fallbrook Pop Warner at Conference meetings and events, plan Board of Director’s meetings, provide leadership and establish an annual action plan including timeline for Board of Director execution, implement player/coach/Board disciplinary measures, manage all member complaints, communicate all National, Conference and Association rulings and pertinent information to all Fallbrook Pop Warner League participants, manage Board of Directors availability on practice fields and Chair the Audit Committee.

1st VICE PRESIDENT/PLAYERS AGENT
The 1st Vice President/Players Agent shall be responsible for the management of the registration and certification process and for the management of the business managers. The 1st Vice President/Players Agent shall be responsible for chairing the registration committee, for the accuracy of the football coaches books, and for the insurance certification process. The 1st Vice President/Players Agent shall also manage the business managers, act as a liaison between the business managers and the Board of Directors, be responsible for the roster preparation, act as an advocate for players and parents and, in conjunction with the President, manage players and parents complaints. In the absence of the President, the 1st Vice President/Players Agent shall perform all duties of the President and when so acting shall have all the powers of the Presidency. In case of a vacancy in the Presidency, the 1st Vice President/Players Agent shall automatically succeed to that office and serve for the unexpired term.

2nd VICE PRESIDENT/COACHES AGENT
The 2nd Vice President/Coaches Agent shall be responsible for the staffing, management and training of coaches and the management of training and playing facilities. The 2nd Vice President/Coaches Agent shall be responsible for staffing all football teams, including scheduling interviews of potential coach candidates, coordinating coach’s clinics, and communicating, interpreting and enforcing National, Conference and Association rules. The 2nd Vice President/Coaches Agent shall also manage practice and playing facilities and obtain the School District’s permissions to use such facilities and communicate the District expectations to the organization, manage First Aid and CPR requirements of coaching staff, act as an advocate for coaches and, in conjunction with the President, manage complaints from the coaching staff. In the absence of the President and the 1st Vice President/Players Agent, the 2nd Vice President/Coaches Agent shall perform all duties of the President and when so acting shall have all the powers of the Presidency. In case of a vacancy of both the President and the 1st Vice President/Players Agent, the 2nd Vice President/Coaches Agent shall automatically succeed to that office and serve for the unexpired term.

CHEER COORDINATOR
The Cheer Coordinator shall be responsible for all aspects of the staffing, supervision, and management of all Cheer squads. The Cheer Coordinator maintains accuracy of the Cheer coaches books and the Cheer roster preparation. The Cheer Coordinator shall also manage the Cheer Coaches and act as a liaison between the Cheer Coaches and the Board of Directors. The Cheer Coordinator shall be responsible for staffing all Cheer teams, including scheduling interviews of potential coach candidates, coordinating coach training, managing First Aid and CPR requirements of coaching staff, conducting Cheer Certification and communicating, interpreting and enforcing National, Conference and Association Cheer rules. The Cheer Coordinator shall also represent Fallbrook Pop Warner at Conference Cheer meetings and events. It is a requirement that the Cheer Coordinator is First Aid and CPR certified. The Cheer Coordinator also serves as a member of the Registration Committee.

SECRETARY
The Secretary shall maintain, or cause to be maintained, adequate and correct amounts of the business transactions of the League. This includes recordings, reporting and maintaining Board of Directors meeting minutes and communicating schedule changes to the Board of Directors. The Secretary shall be responsible to plan and coordinate Fallbrook Pop Warner Physicals Day and Photo Day events. The Secretary also serves as a member of the Registration Committee.

CHIEF FINANCIAL OFFICER
The Chief Financial Officer (CFO) shall be responsible for all the financial transactions of the League including preparation of the annual budget, preparation of financial statements and management reports for the Board of Directors. Such reports may include expense recaps, revenue reports, variance reports and other reports as dictated by the Board of Directors. The Chief Financial Officer shall also be responsible for all cash management of the League including accounts receivable, accounts payable cash receipts, cash disbursements and payment of referee fees. Other responsibilities include reconciliation of player roster with fees paid, releasing of members for equipment issue, filing State and Federal Tax returns and serving as a member of the Registration Committee and the Audit Committee.

EQUIPMENT MANAGER
The Equipment Manager shall be responsible for all football and cheer equipment/uniform inventories. The Equipment Manager shall plan for the purchase of all football and cheer equipment/uniforms, coordinate the printing of all player uniforms with the name and player number, order and distribute staff uniforms, prepare team first aid and equipment kits and communicate with all team equipment managers.

VOLUNTEER COORDINATOR
The Volunteer Coordinator shall be responsible for managing all Fallbrook Pop Warner concessions, organizing, coordinating and providing leadership to the team parents, recruiting volunteers to assist in all aspect of League events and coordinate scholarship recipient’s work schedules. The Volunteer Coordinator also serves as a member of the Registration Committee.

FUNDRAISING COORDINATOR
There shall be three positions on the Board holding this title. The Fundraising Coordinator shall be responsible for all fundraising aspects of the Fallbrook Pop Warner Association. The Fundraising Coordinator shall create a marketing plan for community outreach in financial support of Fallbrook Pop Warner and shall manage its execution. The Fundraising Coordinator shall also manage all sponsor advertising, manage merchandising of Fallbrook Pop Warner items for sale and oversee all direct community communications.

PUBLICITY COORDINATOR
The Publicity Coordinator shall be responsible for all publicity related aspects of the Fallbrook Pop Warner Association. The Publicity Coordinator shall manage the Fallbrook Pop Warner website, serve as the Association’s official photographer, coordinator all communications, contacts and press releases with the news media, manage photo opportunities between Fallbrook Pop Warner, sponsors and the news media and coordinate with team photographers for media opportunities.

LITTLE SCHOLAR REPRESENTATIVE
The Little Scholar Representative shall be responsible for scholastic eligibility and recognition of football players and cheer participants. The Little Scholar Representative shall manage the academic certification process and coordinator collection of alternative certifications as needed. The Little Scholar Representative shall coordinate the preparation and management of All-American program and essay submissions for the Association, create and manage the scholarship recognition program, report all player/cheer report cards to conference and represent Fallbrook Pop Warner at all Conference scholarship meetings and events. The Little Scholar Representative also serves as a member of the Registration Committee.
