ECYB 2009 Jobs List + Information
It takes a lot of time, energy, and hard work to make ECYB run smoothly. What we have found is that ECYB is only as good as what we all, as members, contribute. Our current Volunteer Coordinator is . ECYB's policy regarding volunteer hours requires each member to provide 5 volnteer hours for a team job and an additional 5 hours for a league level job. League level jobs are those that help the entire league overall. These jobs include pre-season field maintenance, chalk delivery, opening day, and many more. Some team jobs are big enough that any person performing those tasks satisfies his/her league level requirement as well. Similarly, some league level jobs are big enough that if you volunteer for them, you are exempt from a team level job.
The following is a list of volunteer jobs that must be performed before, during, and after the course of the season. in order to have the parent participation deposit returned, you must meet the league volunteer requirements. Board Member = Members of the Board of Directors meets twice monthly to execute league business and administer the league. Meetings are held year round (occasionally a late summer meeting is canceled) and are rarely shorter than 2 hours. Every board member chairs several different committees (opening day, equipment, sponsorships, fundraisers, etc.) and participates in all aspects of season preparation and completion. 11 positions (10 league hours) Registrar = (10 league hours) Division Presidents = Division Presidents oversee their designated division. They oversee tryouts, run the draft, schedule practice, and produce their divisions’ season schedule. Division presidents also arbitrate/mediate conflicts within the league. (10 league hours) Team Manager = Team managers are interviewed and “hired” by the ECYB Board. Each team has one manger and that person is responsible for organizing and running practices; is responsible for manager all players, parents and coaches during games. (10 league hours) Team Coach = Each team has 1 lead coach and 1 assistant coach. They help run practices, helps the manager run the team, and follows the manager’s direction. Other parents are welcome and encouraged to participate with their team but must still fulfill their hours of volunteer service. (10 league hours) League Equipment Manager = The volunteer does inventory, consults with people involved with the fields, determines what equipment and how many balls, scorebooks, etc will be needed for the upcoming season, and reports to the board. Supervise equipment assistants. (10 league hours) League Business Manager = You are responsible for keeping track of all of the TBM’s (team business managers), sending out ECYB communications for each division, and being the TBM liaison should issues arise. (10 league hours) League Uniform Coordinator = You are responsible for placing all orders in January with designated company, will report to Board in regards to costs, pick up/distribute uniforms to team uniform coordinators, gathers all jerseys at end of seasons from team coordinators and determines if there are any in need of replacement and will inform Board of whose deposit to cash, will inventory all jerseys at end of season. (10 league hours) League First Aid Coordinator = Inventories first aid kits in pre-season (January) and distributes to division coordinators, orders/receives/distributes all supplies. (10 league hours) Volunteer Coordinators = You are responsible for assigning league level jobs to volunteers, gathering volunteers to work at opening day, keeping track of hours worked, and authorizing reimbursements at end of the season. (10 league hours) Scorekeeper = The volunteer records every pitch, every play and every out in the team scorebook. The scorekeeper’s job demands full attention to the game that then serves as an accurate record of the game. Every team must have a scorekeeper. If you are interested in this position but do not know the procedures for doing so, ECYB now offers a scorekeeper clinic in the pre-season. 2 per team (10 league hours) League Trophy Coordinator = The league trophy coordinator will communicate with the division coordinators in regards to obtaining team names and jersey information, and will place the league order through our designated company. You will be responsible for having the trophies delivered to you and disbursing the trophies to the division coordinators. (10 league hours) Web site/Team Standings = Volunteers are needed to update the ECYB web site. Web site volunteers will learn how to post scores, standings, and schedules. League volunteer hours are only applicable for work on the league web site, not individual team pages. Three volunteers. (10 league hours) Field Chalk Delivery = ECYB purchases several tons of chalk each season for field lining. The chalk is stored at the city Corp yard (on Schmidt, east of Richmond St., across from the recycling center). An assigned volunteer for each field foes to the chalk box at the corp yard, gets chalk (in 50 lb bags) for the weekend, and delivers it to the designated field. Three volunteers in all for these fields; Castro, Central, Cerrito Vista, Tassjara, and Canyon Trail. (10 league hours) Sponsor Liaison = Volunteers are needed to coordinate and communicate with our team sponsors. Sponsor liaison responsibilities may include delivering sponsorship packets, plaques, trophies and/or other sponsor gifts to sponsors. (10 league hours) Golf Tournament = ECYB registration fees do not cover the costs of the season and soothe league relies on a number of successful fund raisers throughout the season. You will be responsible for the coordination of the annual ECYB Golf Tournament held at Tilden Park. (10 league hours) Umpire Scheduling = (10 league hours) Umpire Training = (10 league hours) Team PCA Coordinator = The PCA coordinator meets for 10 minutes or so before and after each game to discuss any issues that could arise during the game or issues that do arise during the game. PCA coordinators will meet collectively once or twice during the season to discuss how managers and coaches are working within the PCA framework. 1 per team (10 league hours) Team Business Manager = The team business manager takes care of team related business outside of running practices and managing games. The TBM assigns jobs, tracks hours, and helps to insure that everyone on their team is executing their volunteer tasks accordingly. (10 league hours) Fundraising Spirit Items = Handles team sales of beanies, baseball caps, sweatshirts, etc.; responsible for collecting team orders and distributing items; runs table at opening day selling ECYB items; inventories stock at the end of the season; sets up a table at your choice of weekend games to sell clothing/hats/etc. (10 league hours) Field Preparation = Prepares and lines the fields in advance of each game. Each team to provide 2 people per game for this. (10 league hours) Auction Coordinator = You will be responsible for organizing the silent auction that takes place at the golf tournament. We will need you to gather auction items from families/local businesses, and attend the golf tournament to lead the silent auction. You will also be responsible for the gathering of money and distribution of prizes. (10 league hours)League A’s Fundraiser = Obtains/distributes flyers and order forms to the team coordinators, collect all team orders, keep copy of all paperwork and submit to board, receive/distribute tickets upon arrival, acts as main point of contact with company. (5 league hours) League Photo Day Coordinator = Receives/distributes photo order forms to each team photo coordinator, communicates photo time, date and location to every team, will act as main point of contact with designated photo company, receives/distributes all photos upon arrival, and will supervise the photo day along with any other scheduled make-up day. (5 league hours) Division First Aid Coordinator = Maintains communication with and distributes/collects kits from all team coordinators in your division, is the go to person when supplies need to be re-ordered, makes sure you have supplies on hand at games should an emergency arrive. (5 league hours) League A’s Fundraiser = Obtains/distributes flyers and order forms to the team coordinators, collect all team orders, keep copy of all paperwork and submit to board, receive/distribute tickets upon arrival, acts as main point of contact with company. (5 league hours) Lock Box Coordinator = Through-out the season, the boxes that we store our equipment in at the fields becomes quite dirty from dirt, chalk, mud, leaves, etc. We’d like to this person to go around to the boxes at least once a month and do a thorough cleaning of them and make sure that all of the equipment is there. (5 league hours)Field Crew (pre-season maintenance) = Field crew volunteers help repair and maintain the fields in the pre-season and throughout the regular season. Field-crew volunteers may be called upon to level, tamp, grade, and drag of plane the field. Field crew volunteers may also spread layers of new cinder into the infield and/or weed the infield. (1 league hour for each hour worked) Division Trophy Coordinator = The volunteer will be responsible for gathering all names and jersey numbers from each team in your division and providing it to the league coordinator. You will also be responsible for the gathering of the trophies once they arrive and the disbursement of those to each of the team trophy coordinators. (2 league hours) Opening day = Opening day volunteers work to make the opening day festivities, parade, raffle, music and BBQ a success for the league. Opening day is chaired by Donna Houser who ably directs the committee and volunteers. (1 league hour for each hour worked) Tryouts/Evaluations = Player evaluations take place in the pre-season (in January before teams are selected) and require several helping hands; players must be registered and they must be organized so that managers and coaches can accurately identify their skills. 5 per division evaluation (1 hour for each hour worked) Team hours: Team Trophy Coordinator = The volunteer will be responsible for providing the players names and jersey numbers to the division trophy coordinator towards the end of the season. You will also be responsible for picking up the trophies upon arrival and giving to the team business manager. 1 per team (2 team hours) Team Webmaster = The volunteer is responsible for setting up and updating the teams website on e teams according to ECYB Board guidelines. Contact John Dresslar: john@dresslar.com. 1 per team (5 team hours) Team Photo Coordinator = Receives photo order forms from the league photo coordinator and distributes them to team, handles communication regarding individual/team photo date, time location and package options, assists with team at picture day, coordinating team and ensuring that each player has their money/envelopes ready with jerseys tucked in and players lined up, picks up and distributes photos when ready. 1 per team (2 team hours) Party Coordinator = Coordinates end of season party and awards with input from the team families, collects money for and buys coaches gifts at the end of the season. 1 per team (2 team hours) Team A’s Fundraiser = Obtains flyers and order form from the league coordinator and distribute to your team; collect orders from your team and verifies tallies; keeps copy of all paperwork and submits copies to league coordinator; gives orders and money to league coordinator by deadline date; obtains team ticket packets and distributes to team. 1 per team (2 team hours) Team First Aid Coordinator = First aid coordinator assembles the team first aid kits and provides first aid kit additions throughout the season, as needed, and arranges for replacement supplies to be picked up/delivered from league coordinator. 1 per team (2 team hours) Team Uniform Coordinator = At the end of the season you are responsible for collecting all team jerseys, including any unassigned jerseys the manager may have. Wash the jerseys and please try to remove any stubborn stains. Please check each jersey for damage and make a note on those needing repairs. Return all jerseys to the League Uniform Coordinator in numerical order and completely buttoned up. 1 per team (2 team hours)
