ECFC – Team Manager Handout 2009
Thank you for volunteering to manage your child’s soccer team. Your job is to coordinate the day to day business of running the team which allows the coach to concentrate on coaching. Uniform switch: Aug 22, 2009 1-3pm, Aug 29, 2009 1-3pm, Poinsett Opening Day: Saturday, September 5th 8:30 AM
Field Crew & Field Marshal Training: 9:15-9:45 AM
Parent Meeting (Option 1): 10-10:30 AM
Parent Meeting (Option 2): September 8, 2009 6:30 PM
Recreational Season Begins: September 12, 2009
Photo Day: Saturday, September 26th, 2009 – 7:00am first teams
ACCYSL Jamboree Weekend: November 21 & 22, 2009
Important Information & Tasks:
Manager Coordinator: (Appointed official) Communicate club information to team managers during each season. Preside over the Manager’s meeting at the start of each season. Assist team managers with questions during the season.
Opening Day Coordinator: (Appointed official) Organize all Opening Day Activities.
Field Marshal Coordinator: (Appointed official) Develop schedule for Team Field Marshal’s for each soccer season. Weekly reminder phone calls to teams scheduled the following weekend.
Assistant Uniform Coordinator: (Appointed official) Help coordinator organize and distribute player uniforms each season.
Assign/Recruit Team (Level II) Jobs: El Cerrito Futbol Club is a voluntary organization that depends on each and every family participating. Field Crew Coordinator, Field Marshal, & Opening Day Volunteers are important team jobs that should be found ASAP! Every family is required to participate or forfeit their $75 volunteer fee (ECFC Level I volunteers are exempt).

Track Volunteer Hours: Managers must track volunteer hours. If a family does not participate in at least 4 volunteer hours for the team/club you need to inform the registrar (Vicki Guay) so that their $75 volunteer fee check can be deposited.

Forward Names/Contact Information of each of your coordinators to the corresponding League contact ASAP. Opening Day Volunteer(s), Field Crew Coordinator, Field Marshal Coordinator and Photo Coordinator should be forwarded to the corresponding League contact. Be sure to include your team name/age.

Opening Day (September 5) - Flyer and schedule to be emailed later.

Field Crew & Field Marshal Training (September 5) – 9:15-9:45 AM at Opening Day Event. Have all families unfamiliar with the field set-up attend. New field marshals should attend as well.

Photo Day (September 26) - Schedule will be forwarded from the league photo coordinator. Pick up team photo packets for your team tonight.

Fundraising – Spirit wear will be available at Opening Day. Samples available tonight. We are in the planning stages for a group fundraiser in October.

Create a Team Roster/Phone Tree – Include names/phone/email/jersey #/ team job.

Uniforms – We are in the 2nd year of a 2 year uniform cycle. Uniforms will be handed out to NEW players only. Switch days are available for outgrown uniforms.

Make Game Card Labels (optional). Every player’s name and number needs to be entered on a game card (U9 and above) at every game. Preprinted labels greatly simplify this task. Go to www.elcerritofc.com to download a template for game card labels.

Tips/Suggestions:

Recruiting Volunteers – DO THIS ASAP! You can set up your volunteer positions in the best way you see fit for your team. Participation is MANDATORY unless a non-participation fee has been paid. Don’t ask if they can help, ask which job they would like. Let them know that job assignments are first come basis and any remaining jobs will be assigned to remaining families.

Communications - Email is an easy and effective way to communicate with families and cuts down the number of phone calls that need to be made. For important communication send an email and initiate the phone tree.

Parent Behavior - Model positive play and appropriate sideline behavior. There should be no yelling at players from the sidelines or groans at referee’s calls. We want the kids to have fun, get exercise, learn skills, and good sportsmanship.
Team Job Descriptions

Head Coach - (Level 1 job) Instructs players at practices and games. Support positive coaching values. Encourage good sportsmanship, fun and a love of the game.

Referee - (Level 1 job) Officiate games, except those involving family members, at an age level appropriate to the person’s experience. ECFC will cover expenses of mandatory CYSA Referee licensing class.

Assistant Coach - Support the head coach at practices and games and fill in for the coach as necessary.

Manager –Recruits and organizes volunteers for team positions. Creates and distributes rosters and game information. Assign snack schedule and remind families. Pick-up and distribute player uniforms. Ensures smooth running of the team so that the coach can focus on coaching. Set-up phone/email tree to communicate changes during the season.

Team Field Crew Coordinator – Organize and call list of team families for 2 to 3 games a season to set up and take down fields. Communicate with Club field crew coordinator. Field Crew: All families make up the field crew with the exception of the coaches and paid non-participants. Paint lines and set up goals, nets and/or flags before games and take-down after the last game of the day. (3-4 people needed each time)

Field Marshal – Supervise the field before and after your child’s game (2-3 hr shift). Help keep games running on time. Hold bathroom key. Provide basic information about the field (contained on a clipboard). In emergency call 911.

Snack Coordinator – Assigns families to bring snack to each game, creates snack calendar and does phone/email reminders the week of each game. (Snacks should include water, fruit for half-time, snack and drink for after game, ice in case of injuries during the game and trash bag for cleaning up the area after the game). Snack: ALL families participate in snack including paid non-participants.

Opening Day Volunteer – Help set-up, clean up and on the field during Opening Day Ceremonies. Help with food booth and merchandise sales.

Photo Coordinator – Distribute photo envelopes. Communicate with Club Photo Coordinator time for team arrival. Distribute photos to team when ready.

Positive Play Coordinator – Communicate principles to team family members. Attends games and approaches any spectators if they are not exhibiting good sportsmanship or violating basic concepts of Positive Play.

Phone Tree Coordinator – Coordinates Phone Tree Communications to insure information is distributed to the team.

Gift Coordinator – Collects money needed for event and token of appreciation for coach(s).

Party Planner – Plans and coordinates end of season party.

Trophy Coordinator – Collect money and purchase individual trophies for team players.

Transportation Coordinator – Organizes player carpooling to games and/or tournaments.

Tournament Coordinator - Organize team’s participation in end of the year tournament/jamboree.
