Volunteers Information - Swim Meet
It takes almost 40 parent volunteers to operate a successful, smoothly running dual meet.
Each home team and each visiting team supply volunteers for each meet. Without the help of
these volunteers, the CNSL swim league would not exist.
Announcer: The announcer broadcasts meet information during the meet.
Card Runner: Card runners collect the event cards from the timers along with the sweep results and give them to the scorers at the end of each heat. For the 25-yard/meter events (all 10 and under events and 11-12 butterfly), the card runners collect the cards from the swimmers and distributes them to the proper timers at the other end of the pool.
Clerk-of-Course: Swimmers in each event have an event card that lists the swimmer's name, team, event number, heat number and lane number. It is the clerk-of-course's responsibility to make sure this information is on the swimmer's card and to check that information against the coaches line up. In the past, the team has provided the clerk with pre-printed labels that may be affixed to the card. In addition to distributing cards, the clerks from each team should confer in order to combine or split heats when necessary. Aids to the clerk-of-course should be available to ensure younger swimmers compete in the correct event, heat, and lane. Clerk aids are essential for helping the younger swimmers stay organized for their relays.
Concessions: Concessions are a very important source of income for the team. Members of the concessions team are responsible for selling refreshments and food at home meets. For each meet, one person will be the head of concessions and will coordinate and purchase supplies for the concessions stand.
Head Timer: The head timer is responsible for recruiting, organizing, and supervising timers for all home meets. The head timer should assign each timer to a lane (one home-team and one away-team timer per lane). The head timer normally times each event in a back-up capacity.
"Heat Winner" Distributor: The "Heat Winner" distributor gives out "Heat Winner" ribbons to the winning swimmer in each race.
Recorder: The recorder records the Sweep Judge's order of finish and hands off the tally sheet to the Card Runner.
Referee: The referee has full authority over all officials and shall assign and instruct them before each meet. The referee is also responsible for resolving all matters related to the conduct of the meet. The referee may double as the starter or as a stroke-and-turn judge and should have at least one season's experience in one of these positions before acting as a referee.
Ribbon Writers: Ribbon writers receive the event cards from the scorers' table and record the information on the appropriate ribbons. Ribbons are given for first through sixth place for all events. Younger swimmers who place higher than sixth place receive a sixth-place ribbon.
Scorer: Scorers are responsible for receiving the completed event cards and Sweep Judges' results and recording the appropriate placement of swimmers on the scoring sheets. The scorer determines the official time of the swimmer. The Waves will provide training for our scorer volunteers.
Starter: It is the responsibility of the starter to start each race. The starter must attend a CNSL Starter's Clinic before acting as the starter for any meet. Stroke-and-turn training is also required (see below).
Stroke-and-Turn Judge: The stoke-and-turn judges are responsible for making sure swimmers complete each race in a legal manner. Judges must attend one of the CNSL Stroke-and-Turn Clinic prior to judging.
Sweep Judge: Sweep judges observe the order of finish for each race and report that order to the Recorder.
Timers: Timers time each event. Each lane of the pool is assigned one timer from the home team and one timer from the away team. At the conclusion of each race, the timers record the times on the swimmers event card and hand the card off to a card runner. Timers will be briefed at the beginning of each meet and should arrive at the host pool no later than 30 minutes prior to the start of the meet.
