Board of Directors/Volunteer Position Descriptions
President: (elected position - Board of Directors Position)
- Preside at all monthly meetings, Board meetings, and special meetings of the SLSA.
- Call Board of Directors meetings and special SLSA meetings when they are deemed of vital interest to SLSA
- Enforce the SLSA By-Laws.
- Control the business of SLSA during his/her term of office.
- Make full report of league matters brought to his/her attention.
- Maintain a working relationship with:
- Upper Saucon Township Parks and Recreation Committee
- Coopersburg Borough
o Living Memorial Park Committee
- Southern Lehigh School District Athletic Office and Coaches
- Lower Milford Township
- and all other youth organizations in the community.
- Upper Saucon Township Parks and Recreation Committee
- Appoint any committees deemed necessary in the event that the by-laws do not cover a specific situation which arises.
- Has check signing ability.
- Must attend all SLSA monthly meetings.
Vice-President: (elected position - Board of Directors Position)
- Preside at all meetings and conduct all Association business in the absence of the President.
- Conduct all business as the President may direct.
- Be active and knowledgeable of activities of all committees.
- Review situations and/or events that arise throughout the year to ensure compliance to the By-laws of SLSA.
- In the event of the resignation or removal of the President, the Vice-President will succeed to the President’s position.
- Must attend all SLSA monthly meetings.
Secretary: (elected position - Board of Directors Position)
- Act as correspondent for SLSA.
- Keep the official roll call of SLSA and notify all members of the meetings.
- Process updates/revisions of the By-laws and other SLSA documents.
- Take minutes at all meetings, submit to Board for review and approval, and distribute to members upon approval.
- Coordinate and maintain background checks for volunteers.
- Maintain player registration information and volunteer information databases.
- Maintain master practice and game schedules.
- Coordinate the SLSA award to a graduating senior from SL School District each year. The criteria for the award will be developed by SLSA and sent for approval to the Board of Directors.
- Carry out other such duties incidental to this office.
- Has check signing ability.
- Must attend all SLSA monthly meetings.
Treasurer: (elected position - Board of Directors Position)
- Keep all funds in proper bank accounts.
- Keep financial records for said accounts.
- Give and take receipts for all monetary transactions as directed by the Board of Directors.
- Prepare a written financial report to be presented at each monthly meeting.
- Prepare and report on budgets for the upcoming year at the October meeting of each year.
- Prepare and file any required federal or state documents/filings.
- Has check signing ability.
- Must attend all SLSA monthly meetings.
Five Division Commissioners: (elected positions)
- Provide coaches in their division with information about the League.
- Be part of the division draft
- Enforce softball (ASA), division rules, and By-laws.
- Ensure that all players are safe.
- Ensure all coaches receive the necessary equipment at the beginning of the season.
- Ensure all coaches return their equipment at the end of the season.
- Manage their division playoffs.
- Encourage all players to participate in special events.
- Schedule the games and practices for their respective Division and coordinate these schedules with the Secretary to ensure field availability.
- This job will be done from February to late July for Spring and from August through November for Fall.
- Must attend all SLSA monthly meetings.
Website Coordinator:
- Maintain website content
o Keep all information as current as possible.
- Maintain and coordinate all fees related to the website.

Fund-Raising Director:
- Solicit local businesses to sponsor our teams at the intramural level through face-to-face visits, email, etc.
- Ideally, we should have at least the same number of sponsors as we have teams.
- Assign Sponsors to appropriate team (based on Sponsor preference if indicated).
- When sponsor pictures/plaques arrive, this person should deliver the sponsor plaques to the sponsors.
- Ideally, we should have at least the same number of sponsors as we have teams.
- Seek-out and coordinate ways to raise additional money for SLSA.
- The Board of Directors is open to ideas for new ways to raise money. There will be a need for committees to help carry out the various fund raising activities.
- This position would require approximately 80 hours of volunteer work throughout the year.

Field Maintenance Manager:
- Responsible for managing the upkeep of all fields utilized by the teams of SLSA.
- Includes ensuring that fencing, netting and padding for backstops are in place in the spring and fall seasons.
- Be sure the fields are turned and have the necessary amount of infield mix applied.
- Responsible for preparing (dragging and lining) all fields utilized by SLSA teams.
- Responsible to keep the fields clean from trash as well as cleaning the dugouts. Work with the appropriate committee to make sure the grass is always cut.
- Be sure each field has a locked box that contains the necessary equipment for that respective field such as bases, lime, liner, rakes, etc.
- They will continue to work to maintain and improve the facilities.
- Responsible for any field maintenance equipment we own.
- Responsible for any signs that are posted on the fences.
- Includes ensuring that fencing, netting and padding for backstops are in place in the spring and fall seasons.
- We strongly recommend a committee approach to accomplish this job.
- Safety is always a primary concern.
- This position needs to be performed from March through November.
- Must attend all SLSA monthly meetings.
Uniform Director:
- Responsible for ordering uniforms for all league teams and Coaches/Assistant Coaches for both fall and spring seasons.
- Care must be taken to make sure that uniforms for Spring are received by April 1st and for Fall ball by August 31st.
- Must acquire and present three cost quotes to the board by February 1st and August 15th respectively.
- Correct sponsor names need to be printed on the back of each uniform along with players’ number (applies to Spring season only). The SLSA logo goes on the front of each uniform.
- Careful attention must be given to provide appropriate sizes for each age group.
- Responsible for ordering and selling spirit wear as well as managing this inventory.
- This position requires approximately 20 hours in the Spring and 10 hours in the Fall.
- Must attend all SLSA monthly meetings.
Umpire Director:
- Responsible for developing a program that provides volunteer umpires for the Minors Division.
- Includes recruiting umpires, creating an umpires contact list, training and scheduling umpires.

- Responsible for making contacts with outside umpire contractors for the Majors and Travel Divisions.
- Assure that volunteer umpires follow the rules of ASA.
- This position would be performed from March through July. The recruiting phase should take approximately 20 hours, the training phase should take approximately 20 hours and the scheduling phase should take about 10 hours.
- Must attend all SLSA monthly meetings.
Registration Director:
- Responsible for organizing the registration process for both Spring and Fall.
- A committee approach is strongly recommended because of the time and work involved in this position.
- Must work with the Board of Directors to choose dates/times for registration.
- Make arrangements with schools (application for usage form must be completed) and any other registration location for those dates/times.
- Responsible for the development of the registration flyer to be approved by the Board of Directors by the end of October.
- Upon approval, make arrangements for them to be handed out in the schools. These need to be delivered to the schools at least two weeks prior to each registration.

- Responsible for providing all registration information to the Secretary.
- Responsible for attending each of the registration sessions with appropriate forms.
- This job takes approximately 40 hours.

Equipment Director:
- Ensures that each team has appropriate equipment for Spring/Fall league play that is specifically approved according to ASA specifications.
- Responsible for the distribution and collection of all equipment at the beginning and end of each season.
- Must maintain inventory reports and buy new equipment as needed.
- Must provide three cost quotes for approval by the Board prior to purchasing equipment.
- Responsible for the cleanliness and organization of the storage shed located at the SL High School.
- This position will take approximately 50 hours.
- Must attend all SLSA monthly meetings.
Picture Director:
- Works with the Board of Directors to set a date for pictures for the spring teams.
- Must provide three cost quotes to the Board for approval.
- Makes arrangements with the photographer, picks up all forms and delivers them to each team Coach.
- Must attend picture day and collect all money for pictures.
- Picks up the pictures when ready and distributes them to the coaches of the teams.
- Responsible for providing the sponsorship director with the plaques for distribution to the sponsors.
- The job should take approximately 20 hours.
- Must attend Jan-May SLSA monthly meetings.
Special Events/Marketing Coordinator:
- This person will be involved in many additional aspects of SLSA.
- Coordinate SLSA participation in:
- The Coopersburg Halloween Parade
- Coopersburg Community Day
- Upper Saucon Family Fun Fest
- The Coopersburg Halloween Parade
- Organize trips to events such as Iron Pigs games, Family Fun Nights at The Inside Scoop, Ecco Domani, etc.
- Coordinate the Parent/Coach Tournaments.
- Responsible for all marketing collateral such as banners and yard signs, etc.
- Because these events take place at various times throughout the year, this position requires more work at some times than at others.
- Must attend all SLSA monthly meetings.
Awards Director:
- Responsible for ordering and distributing awards such as trophies and medals to the respective coaches.
- Acquire three quotes for these awards for submittal to the Board for approval.
- Upon approval, order the awards and have them in the hands of the coaches before the end of the intramural season.
- This position will take approximately 10 hours.
- Must attend monthly SLSA meetings during April and May.
Interleague coordinator:
- Responsible for the arrangements between SLSA and other communities for games between them and our Minors and Majors Divisions.
- Includes both the Spring and Fall seasons.
- Must coordinate game schedules with the division managers, the game scheduler and the Secretary.
- Must attend all SLSA monthly meetings.
