•  Compile a list of all district directors for the new season and appoint Age group ambassadors
•  Review all league rules and by-laws and submit any proposed changes for review by new board
•  Invite new organizations to our meeting for consideration of acceptance into our association (on-going)
Wednesday, November 18, 2009 7pm BoardMeeting •  2009-2010 Officers assume positions
•  Review all league rules and by-laws, vote on all changes.
•  Set all fee structures for the upcoming season (org, team, forfeit and tournament fees)
•  Nominate preseason/postseason tournament sites
•  Invite new organizations to our meeting for consideration of acceptance into our association
Wednesday, January 13, 2010 7pm BoardMeeting •  Collect organization fees for the upcoming season ($30/organization).  Deadline to hear from all existing organizations
•  Finalize preseason/post season sites
•  Invite new organizations to our meeting for consideration of acceptance into our association.  Deadline for acceptance for all new organizations
Wednesday, February 10, 2010 7pm BoardMeeting •  Collect directions for new organizations and new ball parks (email is acceptable at any time)
•  Start collection of team rosters and coach's lists (email is acceptable at any time)
•  Start forming of leagues by providing best estimate of teams for each organization
•  Begin collection of all sanctioning fees and team fees
Wednesday, March 03, 2010 7pm BoardMeeting •  Final collection of directions for new organizations and new ball parks
•  Deadline for the number of teams each organization will enter in our association this year
•  List of all head coaches from each organization is due.
•  Scheduling form (Field Availabiliy) due for all organizations
•  Finalize divisions for all teams based upon region and ability
•  Finalize collection of all sanctioning fees and team fees

Monthly Task List

SEPTEMBER
- review the past season
- nominate officers for the new season
- set a meeting schedule and reserve a meeting room for all meetings
- set up audit committee
- set a task schedule

OCTOBER
- vote on new officers
- audit committee reports
- decide on an age cut-off date for the upcoming season
- compile a list of all the district directors for the new season
- decide upon the make-up of our league for this season
- invite new organizations to our meeting for consideration of acceptance into our association
- appoint Age Group Ambassadors

NOVEMBER
- install new officers
- start a review on all league rules and by-laws
- set all fee structures for the upcoming season
- invite new organizations to our meeting for consideration of acceptance into our association
- assign pre and post season tournament sites
- recruit college/hs coaches to hold coach's clinics for the association.

DECEMBER
- finish reviewing all league rules and by-laws
- set up umpire clinics
- invite new organizations to our meeting for consideration of acceptance into our association
- review team records from previous season

JANUARY (first meeting)
- set dates for all player's clinics
- set coach’s clinic date
- vote on final draft of league rules and by-laws
- invite new organizations to our meeting for consideration of acceptance into our association

JANUARY (second meeting)
- collect organization fees for the upcoming season
- deadline for acceptance for all new organizations
- deadline to hear from all existing organizations
- collect directions for new organizations and new ball parks

FEBRUARY (first meeting)
- start collection of team rosters and coach's lists
- review umpire clinic dates
- review coach’s clinic date
- collect directions for new organizations and new ball parks

FEBRUARY (second meeting)
- deadline for the number of teams each organization will enter in our association this year
- collect lists of all head coaches from each organization (standard SOGFSA forms must be used)
- collect rosters from each organization (standard SOGFSA roster forms must be used)
- set up divisions for all teams
- set scheduling meetings (times and divisions)
- final collection of directions for new organizations and new ball parks

MARCH
- start scheduling
- review coach’s clinic
- hold player's clinics
- hold umpire clinics
- collect all sanctioning fees and team fees
- all rosters must be turned in prior to team being scheduled

APRIL
- deadline for high school teams to get in - last week of April
- hold mandatory coach's meeting
- hold pre-season tournaments
- high school scheduling

MAY
- official season begins – first Saturday
