Dear RGSL Parents:

The Rotterdam Girl’s Softball League’s financial security is dependent primarily on those revenues generated by Concession sales. The Concession Committee consists of a small group of dedicated volunteers who manage the operation of the Concession throughout the season. They perform such duties as placing orders, buying supplies, making deposits, opening and closing the stand, etc. Each year our organization stresses the importance of parental cooperation and support to assist in the operation of the Concession during games. You will be asked to sell refreshments and cleanup after sales have ended. Unfortunately, in the past years the level of support has diminished and it has become necessary for a few people to take on more than their share of responsibility. The RGSL Board recognizes the problem and has adopted the following policy to remedy the situation.

The team managers will continue to be responsible for scheduling 2 parents from the HOME TEAM to work in the concession; you will be excepted to work at least once during the season. In some instances you may be asked to work a second time if necessary. You will be excepted to arrive at the Concession by approximately 5:30pm to assist with the opening and remain until clean up is completed (T-Ball parents need to arrive by 9:45am and stay until the next crew arrives to relieve them). If you can not work on your scheduled night (day) you are excepted to trade times with another parent, send a responsible adult as your replacement (18 & older) or call your team manager and ask for assistance in finding a replacement.

If the Concession is not fully staffed as scheduled by 6pm a Board member or the Concession manager will approach the umpire who is officiating the game. He/she will notify your daughter’s manager and will not begin or continue the game until the scheduled parent or a replacement is found to work. If, after 15 minutes, the matter is not resolved, the violating team will take a forfeit. There will be NO EXCEPTIONS. The girls will still finish the game regardless of the forfeit.

The Board realizes that some parents may feel that this is a drastic step, however we must set forth an enforceable policy that can be implemented in a fair and consistent manner as well as ensure the future financial security of our organization. In the past, less consequential policies have failed to produce satisfactory results. We certainly hope that this policy will not have to be enforced in the up coming season. We look forward to joining you and your daughter for another season of fun and recreation. As always we encourage your participation in the league and invite you to contact us with your comments or concerns. Your input is valued and necessary if we are to remain a quality organization.

                                                                                                            Sincerely,

                                                                                                            The RGSL Board
