Description of Board Positions

Below is a brief description of the various positions, responsibilities and duties of the Olive Little League Board of Directors. Board members may have multiple responsibilities and/or share duties. Positions considered Officers of the Board (Executive Board) are noted ** below.

  • **President: Conduct the affairs of Olive Little League and executes the policies as established by the Board of Directors. Appoints managers and umpires with board approval.
  • **Vice President: Performs various duties as assigned by the President and steps in should the President be absent or unable to perform duties.
  • **Co-Treasurer - Bookkeeping: Receives and deposits all monies, writes checks, verifies all invoices prior to payment, and prepares snack bar start-up monies.
  • **Co-Treasurer - Recording: Keeps financial records and receipts, prepares financial reports, assists Bookkeeping Co-Treasurer, handles state and federal forms, and assists with budget.
  • **Secretary: Keeps and maintains minutes of board meetings, mailing lists, league records, and membership lists; secures field permits, makes notification of league activities and meetings.
  • **Player Agent(s): Checks player eligibility, conducts the player draft, prepares and maintains all team rosters, processes player applications, prepares waivers, handles player issues, conducts All-Star voting and notification.
  • **Safety Officer: Implements safety program, inspects playing fields and player equipment, arranges 1st aid training, produces safety manual, processes and records injury reports, handles insurance claims.
  • Information Officer: Maintains OLL website on eteamz.com including on-line registration process, oversees spring newsletter production, and assists Player Agent with roster submittals.
  • Fundraising & Sponsorship: Coordinates annual fundraising drives, secures and processes individual and corporate sponsorships (including banners and plaques), oversees team and league sponsorship program.
  • Events: Coordinates opening and closing ceremonies, Team Announcement Day, Angel Day, and other events.
  • Big League: Coordinates big league division uniforms, registration and schedule, represents OLL at Big League meetings.
  • Junior/Senior League: Coordinates junior and senior division uniforms, registration and schedule, represents OLL at Junior/Senior League meetings.
  • Chief Umpire: Coordinates umpire clinics, recruits umpires; handles umpire staffing, schedules, and issues, purchases and maintains umpire equipment. Focal point for all communications regarding umpires.
  • Yearbook & Team Photos: Coordinates yearbook and team pictures, secures printer for production of yearbook and photographer for team pictures, distributes final product.
  • Coaching Coordinator: Coordinates communication between the board and managers, secures manager/coach applications, holds regular managers meetings, coordinates coaching clinics, handles team staff issues, maintains team staff records and contact info, distributes and collects team staff evaluations, recruits managers and coaches, oversees manager recommendation committee.
  • Team Parent: Compiles, organizes, and distributes information to team parents, recruits team parents, and coordinates a team parent information night.
  • Equipment: Maintains and inspects all equipment, distribution and collection of team equipment, orders new team equipment and baseballs when needed.
  • Uniforms and Trophies: Coordinates ordering and distribution of league issued uniforms, orders and distributes trophies and awards.
  • Scheduling: Prepares practice and game schedules for board approval, handles all reschedules, prepares board field duty schedules.
  • Field Maintenance: Recruits and oversees field maintenance crew, maintains grounds and makes necessary improvements, purchases and maintains field equipment and supplies, conducts field work days as appropriate, schedules field crews to support regular and post season games.
  • Snack Bar (Olive and Shaffer): Stocks when needed, implements an operating procedure and staffing schedules, recruits and oversees snack bar committee, coordinates all snack bar activities and vendors, coordinates food and beverage needs for OLL events.
  • Scorekeeping and Statistics: obtains and distributes line-up cards and scorebooks, maintains divisional standings, coordinates scorekeeper training, recruits scorekeepers, collects and maintains league statistics for to support All-Star team voting and post-season awards.
  • Fall Ball Coordinator: coordinates all Fall Ball activities, secures fields and support from other leagues, handles team formation, and distributes information to teams.
