Swim Event Pool setup
& volunteer assignments
This is a brief description of all volunteer duties. Please be sure to read your duties and ask someone in charge in case you have any questions. Thanks for volunteering!
MEET OFFICIAL – 1 for the meet. Duties:
1. Ensure all officials are accounted for at designated locations.
2. Communication liaison with Scorer’s table and scheduler.
3. Ensure swimmers are properly aligned for each heat.
4. Ensure swimmers are properly notified of scheduled events/heats and staged.
5. Ensure deck area is safe and ready for race.
6. Designate officials as needed.
RUNNER – 1 for the meet. Duties:
1. Takes the cards from the swimmers and hands them to the TIMERS.
2. Takes the cards from the TIMERS (if any) and gives them to SCORER 2.
TIMERS – 2 per lane. Each with a stop watch. In addition to a stop watch, one will have a clipboard and pencil. Duties:
1. Align position at finish point. If it is 25m, you stay across the swimmer, at the other end of the pool. If it is 50m, you stand behind the swimmer.
2. Obtain swimmer heat card for designated lane from the RUNNER.
3. Time the heat (race) and record time on the card.
4. Repeat process for each heat.
STARTER– 1 for the meet. Duties:
1. Ensure timers are ready.
2. Ensure swimmers are ready.
3. Provide consistent cadence as follows:” Ready, Set, GO”
4. Go signal can be done by a whistle or a starter gun.
5. Observe fair start of all swimmers.
6. Recognize a false start. A false start occurs when at least one swimmer leaves the start position prior to the go signal.
7. Alert swimmers to a false start by sounding the whistle or start gun twice in rapid succession immediately when a false start occurs.
8. Perform a restart by repeating steps 1 thru 7.
9. In the event of a second false start by the same swimmer in a heat, the swimmer will be notified of DQ by the meet official.
10. Repeat the process for each meet.
SCORER – 2 for the meet. Positioned at designated scorer’s table. Scorers are positioned as Scorer 1 and Scorer 2. Duties:
1. All scorers are responsible for maintaining official record of swimmer’s results/activities in each meet.
2. Scorer 1 prepares swimmer heat cards for up coming events/heats.
3. Scorer 1 passes prepared swim cards to the MEET OFFICIAL.
4. Scorer 2 takes the cards from the RUNNER and records completed swimmer cards onto official meet record and determines placement of swimmers for each event/heat.
ANNOUNCER/SCHEDULER – 1 Announcer and 1 Scheduler for the meet. Duties:
1. Scheduler confirms swimmer attendance with check in official.
2. Scheduler verifies schedule with SCORER 1 per event.
3. Scheduler tracks meet activities and progress.
4. Announcer reviews schedule list and announces Event/Heat.
5. Announcer informs swimmers of first heat.
6. Announcer informs swimmers of next 2 heats.
7. Announcer ensures staging area for swimmers is properly moving.
8. Announcer and scheduler inform Meet Official of any irregularities.
9. Scheduler informs Scorer’s table officials of any changes that may occur.
TEAM LIAISON – 2 for the meet. Duties:
1. Ensure that swimmers are at designated staging areas.
2. Ensure swimmers are ready to enter staging area.
3. Communicates with swimmers for any need the swimmer may have, including scheduled event order and estimated time frame for swimmer’s scheduled activity.
4. Communications liaison with meet official and scheduler for any event which effect swim meet scheduled events.
5. Maintains presence on deck area and access point for swimmers moving from deck area to next heat staging area.
CHECK IN – 2 for the meet. 1 for swimmer and 1 for volunteer officials. Duties:
1. Provides accurate accounting of swimmers in attendance.
2. Provides record of attendance schedule to Scheduler and Scorer 1.
3. Provides liaison to volunteer officials with Meet Official for designated positions and roles.
4. Provides accounting of timer equipment to designated officials.
5. Ensures all equipment is returned and accounted for at the end of the meet.
6. Provides updates of any late entries to Scheduler/Team Liaison.
Glossary of Terms
Swim Meet or Time Trial: An official record of swimmers recorded time in competition with other swimmers aligned by gender and age. A swimmer may swim with in gender in older age category. A swimmer may not swim in the opposite gender or younger age category. A Meet or Time Trial will consist of multiple events. Each event may have multiple heats.
Events: An Event consists of a designated gender and age group performing a designated swim stroke. It may also include a designated swim race(i.e. Relay, Medley, IM) An Event is comprised of races, each race is occurring in an event, and is called a heat.
Heat: A heat is a single race with all the swimmers participating in the same swim stroke or style(i.e. Girls 8-10 25 meter Freestyle, Boys 8-10 75 meter Freestyle Relay)
IM Heat: A medley race is run in the following order: Backstroke, Butterfly, Breast stroke, Freestyle. When no competitors are skilled in a particular stoke, all swimmers will agree to swim the other combined strokes in that order. For our purposes, no one can swim Butterfly, so the order will be: Back, Breast, Freestyle.
Medley Heat: Multiple swimmers will compete swimming one of the designated strokes per leg of the race. For example, for Boys 8-10 100m medley it will be:
1 25m Backstroke, 1 25m Butterfly, 1 25m Breaststroke, 1 25m Freestyle.
