Nominations are now open for all positions for the Kingston/Forty Fort Little League Board of Directors. In order to submit your name for nomination, email bbordow@ptd.net. Nominations for all positions will be submitted at the KFF Board meeting on Sunday, September 7th. The positions are listed below as well as a more detailed description of the duties.   Please email if interested or if you have any other questions.

 Section 2: President - The President’s duties include, without the limitation, the following:

A.      Conduct the affairs of KBSI and execute the policies established by the Board of Directors.

B.      Present a report of the financial condition of KBSI at the Annual Meeting.

C.      Communicate to the Board of Directors such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of KBSI.

D.      Be responsible for the conduct of KBSI in strict conformity with the policies, principles, Rules and Regulations of Little League Baseball, Inc., as agreed to under the conditions of the charter issued to KBSI by that organization.

E.       Designate in writing the other officers, if necessary, to have power to make and execute for/and in the name of KBSI such contracts and leases they may receive and which have had prior approval of the Board.

F.       Investigate complaints, irregularities and conditions detrimental to KBSI and report thereon to the Board or Executive Committee as circumstances warrant.

G.      With the assistance of the Treasurer, prepare and submit an annual budget to the Board of Directors and be responsible for the proper execution thereof.

H.      With the assistance of the League Commissioners, examine the application and support proof-of-age documents of every player candidate and certify the residence and age eligibility before the player may be accepted for tryouts and selection.

I.        Serve as principal representative of KBSI throughout all post-season tournament play.

J.        Serve as chairperson on the District Committee.

K.      Conduct all background checks on all volunteer applications.

L.       Vote in case of ties on board matters.
Section 3: First Vice President (Equipment) - The First Vice President’s duties include, without limitation, the following:

A.      Perform the duties of the President in the absence or disability of the President, provided the President or Board authorizes him or her to so act. When so acting, the First Vice President shall have the powers of that office.

B.      Perform such duties as from time to time may be assigned by the Board of Directors or by the President.

C.      Serve as Chairperson of the Arbitration Committee.

D.      Be responsible for the purchase, distribution, maintenance and return of all equipment.

E.       Be responsible for the purchase and distribution of the uniforms for the teams, tournament teams and umpires.

F.       Be responsible to maintain a proper inventory of safe equipment as required replacing unsafe or defective equipment through out the season.

G.      Be responsible for recommending and setting equipment safety standards with the Safety Officer.

H.      Complete inventory should be completed by the General Membership Meeting.

I.        Vote on matters before the Board.

Section 4: Second Vice President (Building and Grounds) - The Second Vice President’s duties include, without limitation, the following:

 

A.      Perform the duties of the President in the absence or disability of the President or the First Vice President provided the President or Board authorizes him or her to so act. When so acting, the Second Vice President shall have the powers of that office.

B.      Perform such duties as from time to time may be assigned by the Board of Directors or by the President

C.      Shall be responsible for the repair and improvement recommendations, other than the normal maintenance, and supervise the performance of approved objectives.

D.      Shall be responsible for the cure and maintenance of the playing field(s), building and grounds.

E.       Shall operate within the amount appropriated in the approved budget for that purpose.

F.       Submit to the Board of Directors in writing any major upgrade to the fields, including cost estimates, plans and timetable of the projects, and how it will impact the league as a whole.

G.      Vote on matters before the Board.

 Section 5: Secretary - The Secretary’s duties include, without limitation, the following:

A.      Be responsible for recording the activities of KBSI and maintain appropriate files,mailing lists and necessary records.

B.      Perform such duties as are herein specifically set forth in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors. 

C.      Maintain a list of all Regular, Associate, Sustaining and Honorary Members, Directors and Committee members and give notice of all meetings of KBSI, the Board of Directors and Committees.

D.      Keep the minutes of the meetings of the Members, the Board of Directors and theExecutive Committee, and cause them to be recorded in a book kept for that purpose.

E.       Conduct all correspondence not otherwise specifically delegated in connection with said meeting and be responsible for carrying out all orders, votes and resolutions not otherwise committed.

 F.       Serve as chairperson of the Nominating Committee and notify Regular Members, Directors, Officers, and committee members of their election appointment.

G.      Vote on matters before the board.

 Section 6: Financial Secretary - The Financial Secretary’s duties include, without limitation, the following: 

A.      Shall investigate ways and means of financing KBSI including team sponsorship andSubmit recommendations to the Board of Directors.

B.      Shall be responsible for the collection of team sponsorships and shall turn over said collections to the Treasurer.

C.      Shall be responsible for the installation and removal of team sponsorship bannerson the outfield fences.

D.      Order new banners for new field sponsors.

E.       Be responsible for the purchase and distribution of uniforms for teams and tournament teams.

F.       Vote on matters before the board.

 Section 7: Treasurer - The Treasurer’s duties include, without limitation, the following: 

A.      Perform such duties as herein set forth and such other duties as are customarilyincident to the Office of Treasurer or may be assigned by the Board of Directors.

B.      Receive all monies and securities, and deposit same in a depository approved by the Board of Directors.

C.      Keep records for the receipt and disbursement of all monies and securities of KBSI, including the Auxiliary, approve all payments from allotted funds and draw checks therefore in agreement with the policies established in advanced of such actions by the Board of Directors. All disbursements by check must have dual signatures.

D.      Prepare such financial reports, under the direction of the President, for submission to the Membership and Board of Directors at the Annual Meeting and to Little League Headquarters, as required.

E.       Oversee and manage the annual tax filing.

F.       Oversee and manage the collections of the monies obtained from the concession stand.

G.      Present the Board of Directors the annual registration.

H.      Present the Board of Directors a monthly financial report.

I.        Vote on matter before the board. 

Section 8: Concession/Auxiliary Director - The Concession/Auxiliary Director’s duties include, without limitation, the following: 

A.      Manage the concession stand and all the workers with the assistance of a co-director,and coordinate with the individual leagues for scheduling of volunteers

B.      Responsible for maintaining the concession stand and meeting all health departmentrequirements.

C.      Responsible for opening and closing the concession stand during all schedule games.

D.      Responsible for ordering and purchasing food and other items used during the season.

E.       Organize and train members of the auxiliary committee.

F.       Schedule auxiliary members.

G.      Select teenagers to work the stand.

H.      Organize meetings with teenagers, team moms and auxiliary members.

I.        Report all sales and deliver all proceeds to the Treasurer in a timely manner.

J.        Maintain an accurate accounting of purchase and receipts

K.      Maintain a list of all parents that have fulfilled their obligation in volunteering in the concession stand and present to the Board at monthly meetings

L.       Ensure that all keys for the concession stand are turned in at the end of the season.

M.    Vote on matters before the board. *This position will be split into two- the Stand Director will oversee and do the purchasing- The Stand Manager will take care of opening, closing, and volunteers.

 Section 9: Safety Officer - The Safety Officer’s duties include, without limitation, the following: 

A.      Be responsible to create awareness, through education and information, of theopportunities to provide a safer environment for youngsters and all the participants of KBSI.

B.      Develop and implement a plan for increasing safety of activities, equipment andFacilities through the education, compliance and reporting as follows:

1.       Education- Should facilitate meetings and distribute information among participants, including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers.

2.       Compliance- Should promote safety compliance leadership by increasingthe safety opportunities that arise from these responsibilities

3.       Reporting- Define a process to assure that incidents are recorded, informationis sent to league/district and national offices, and follow up information on medical date is forwarded as available.

C.      Vote on matters before the board.

 Section 10: Player Agent - The Player Agent’s duties include, without limitation, the following: 

A.      Record all player transactions and maintain an accurate and up-to-date record thereof.

B.      Receive and review applications for player candidates and assist the President in checking residence and age eligibility.

C.      Compile the Player Agent’s List of all players in the league, containing pertinent information about each player for tryouts and draft.

D.      Conduct tryouts, player draft, and all other player transactions or selection meetings.

E.       Prepare team rosters (including player’s claimed) and tournament team eligibility affidavit for the President to review and sign. Upon the President’s approval, submit rosters and affidavit to Little League Headquarters.

F.       Approve all player transactions, with the President, to ensure the interests of the League are served.

G.      Perform field duty assignments, a scheduled, or arrange for a replacement.

H.      Maintain and coordinate the Player Pool list.

I.        Vote on matters before the board.

 Section 11: Informational OfficerThe Informational Officer duties include, without limitation, the following: 

A.      Be responsible for the upkeep of the Kingston Little League Web Site to include the following:

·         Registration Notices and Forms access

·         Safety Notices and Forms access (including Code of Conduct)

·         Email form forwarding for above

·         Current Schedules and Scoring for all Divisions

·         Timely notification of Rain Delays and field conditions

·         Password protected access for BOD Meeting Minutes and BOD notifications

·         Notification of Fund Raising Activities.
