Registration Overview:
Each team will
receive a package of registration material that will be based on the number of
players each team has indicated they will be carrying. It is expected that each
team will submit monies and registration material as soon as they are
collected.
New RDS System:
The R.I.C.
(Registrant Information Card) and R.A.C. (Registrant Activity Card) have been
put on hold by the OSA. Our Club will become involved in the process as soon as
it becomes available to the H&D.
Who
Can Register Players:
It is important that
all registration requests or inquiries go through the registrar. The H&D
will not take any registration requests from Sparta unless the club Registrar
has processed them.

The Team Registration
Package will include a copy of the Registration Policy and Procedure Document,
Registration Forms for New Players, Returning Players and Coaching Staff and a
Timeline identifying key registration dates.
What should be returned to the Club Registrar:
When the individual
team managers are submitting player registration to the Club Registrar the
following must be submitted.

Section 1 -Team Registration Form for returning players.
·
Section 2 - New Players not previously registered with Sparta - include Birth
Certificates and Photo ID.
·
Section 3 - Coaching staff information
·
Payment - A cheque for each
player registered. See Registration Cost
Additional office
hours will be made available for teams during the final weeks of registration,
dates and times will be determined as required.
To be fair to all
teams the registration turn-around time will be one (1) week from the time of
receipt to time of delivery. Turn-around time may be shorter but should not be
relied upon. During the final days of registration it may be necessary for some
teams to sign players at the last minute. These registrations will be handled
on a first come basis by the club but it must be emphasized that the District
Office will have their own priorities. Once again, do not rely on quick
turnaround times at the last minute.
Who
can register players:
IMPORTANT
All registrations
will be handled by the Club Registrar using the Club RDS (Registration and
Discipline System). All outdoor registration must be processed by the Club
Registrar before being submitted to the H&D Office .
The tentative
deadline for Elite registration is April 8 - 15. Seven players must be
registered by this time. The remaining players can be registered before the
league starts.
April 30 has been set
as the tentative registration completion date all teams other than the Elite
Division. This date can be adjusted according to the start of each league.
Please be aware of the time needed by the H&D office to process the
registration data.
The
Registration Cost:
Sparta executive will
issue a letter to identify the real value received by each player for the
$250.00 registration cost. Cheques should be made payable to Hamilton Sparta
Sports Club.

Multiple
Registration Costs:
When families have
more than one child registered with Hamilton Sparta the following rates will be
applied.
·
1st child - full registration cost, see "Registration
Cost" above
·
2nd child - full registration cost, less $20.00
·
3rd child - full registration cost, less $40.00
Coaches/Executive Registration:
All coaching staff
and club executive will be registered with the H&D. If you have a
registration book from last year please submit it with your team registration
documents. If a new book is required notify the Club Registrar.
New Coaches fill in SECTION 2 of the Registration Form.
The club is trying to
build a history of all registrations, this should simplify the registration
procedure in coming years. Each team is asked to return all none used player
Registration Books to the office. These books will be made available to all
teams.
Refunds:
The Club Registrar on
an individual basis will handle refunds. The Registrar will report back to the
Club Executive. The reason for the refund will be taken into account when
determining the amount of the refund.
All Youth teams can
carry a maximum of 18 players. Senior teams can carry a maximum of 22 players.
De-Registering Players:
When a coach deem it
necessary to add players to a team that has already registered the maximum of
registered players the following de-registration process must be followed.

The Club Registrar must be notified of
all de-registrations.
·
The player being de-registered MUST be
notified of the de-registration.
