HRYJ Volunteer Reference List

HRYJ is a parent-run volunteer organization.  Every family needs to do their part to make the program a success for our children!  There are many ways to be involved, some big and some small but all just as important!  The following is a list of  some of the committee positions that are available.

 

Volunteer Reference List

Note: The number of people needed to chair each committee is in parenthesis. Volunteers for all positions are needed!!

Weighmaster (2 people minimum)

This is a very important position requiring a large committment. The weighmasters are responsible for weighing in football players and ensuring that each player is properly equipped and then submitting paperwork to the league within a specific timeframe.  The weighmaster must attend all 8 games for all squads (Freshman, JV & Varsity).

 

Team Representative (one for each squad minimum)

Responsible to complete a coaching contract which allows you access to the game fields.  Assist with coaches needs at practices and games as it relates to the kids.  Should be at most of the practices.

 

Work with the Volunteer Coordinator(s) to sign in and direct volunteers at home games for your level.

 

Coordinate coaching gifts for the banquet for your squad.

 

Work with the Silent Auction coordinator to organize donations by squad.

 

Volunteer Coordinator (minimum 1 person) 

Organizes volunteers for all program volunteer positions.

 

Family Day Coordinator (minimum 1 person) 

Organize parent gift within the approved budget and set up agenda for the day.  Work with team representatives to set up the day.

 

Picture Day Coordinator (minimum 1 person) 

Work with the HRJ calendar to schedule picture day, ensure envelopes are available to families in advance and handle any issues to completion.

 

Equipment Manager (1 person) 

Handle all equipment needs and issues with a pre-approved budget.   All purchases must have advance board approval.   Schedule the equipment issues and turn-ins with the approval of the board.

 

Practice Concession Sales (minimum 1 person)

Coordinate food and beverage purchases with the game concession coordinator.  Handle food prep, sales and money at all practices.

 

Concession Manager (1 person) 

Coordinate inventory, purchases, preparation, money for concession stand.

 

Spirit Booth (minimum 1 person) 

Research and coordinate spirit booth items for purchase and bring to the board for approval.  Set up spirit booth as a fundraiser with sufficient items available at registration, the new parent meeting, equipment issue, practices, and games.

 

Trophies (1 person) 

Get trophy samples from Crown trophy that fall within the pre-determined budget.  Bring samples to the Board for approval.  Order and ensure delivery to the banquet.  Confirm rosters, names, vet status with registrar and coaches.  Order 4-5-6 vet awards as determined by the board.  Follow any issues through to completion.

 

Yearbook (minimum 1 person) 

Coordinator and committee positions available.  Photographers will have a coaching contract on file to allow them access to the practice and game fields.  Photos of games and events will be taken to assemble into the season yearbook for distribution at the awards banquet.  Chairperson needs to coordinate all efforts.

 

Information Officer (minimum 1 person) 

The Info Officer will handle the weekly Buzz newsletter to families and also the website content.  The Info Officer can appoint committee members to actually type, copy and distribute the Buzz and someone to be the webmaster or can handle themselves.

 

Banquet Committee (minimum 1 person)

Coordinator and committee positions available.  Organize and set up for the banquet.  Handle seating assignments.

 

Bake Sale Coordinator (minimum 1 person) 

All squads are required to donate baked goods for one home game.  Coordinator will work with volunteers on pricing, set up, and ensuring money is recorded and turned over to the treasurer.  Coordinator will keep financial report of profits made and report at the board meetings.

 

Fundraising Committee (minimum 1 person) 

A committee to organize and set up other fundraisers to support the program.  Casino trips, candle sales and spaghetti dinners are examples of what has been done in the past.

 

50/50 Coordinator (minimum 1 person) 

Coordinator will work with volunteers at each home game to explain the process, give them the supplies and get them started.  Coordinator will be responsible for getting the money to the treasurer and will keep a financial report of profits made and report at the board meetings.

 

Auction Committee (minimum 1 person)

Coordinator and committee positions available.  Committee will work together to secure donations from local and remote businesses.  They will coordinate donations from the teams and prepare everything for the silent auction.  The Coordinator will be responsible for getting the money to the treasurer and will keep a financial report of profits made and present report at the board meetings.
